About the Venue

The Beachcomber Hotel & Resort, located in Toukley on the beautiful Central Coast, is an iconic waterfront destination overlooking Budgewoi Lake.

Featuring multiple dining outlets, stylish bars, 83 hotel rooms and dedicated event spaces for up to 200 guests, “The Beachie” is one of the region’s most sought-after locations for weddings, celebrations, conferences and special events.

About the Role

We are seeking a confident, organised and hands‑on Wedding & Events Coordinator to join our Conference & Events team.

With a strong focus on weddings and social events, you will manage events from initial enquiry and planning through to on‑the‑day operational delivery, ensuring every detail is executed to a high standard.

This role is ideal for someone who enjoys both sides of events – building relationships with clients and planning every detail, while also being present on the floor to bring the event to life.

You will also support corporate and conference enquiries when required, including quoting, client communication and event coordination.

This is not a purely administrative or sales‑based events role. Hands‑on operational event experience is essential.

This is a full‑time position, with flexibility required to work across a 7‑day rotating roster, including weekends, to support the operational delivery of weddings and events.

Key Responsibilities

- Coordinate weddings and events from initial enquiry through to post‑event follow‑up
- Act as a key point of contact for wedding couples throughout the planning process
- Conduct client consultations, site inspections and final planning meetings
- Prepare proposals, quotes, contracts, event orders/BEOs, run sheets and operational briefs
- Coordinate event timelines, floor plans, suppliers and external vendors
- Work closely with Kitchen, Bar, Food & Beverage,



Hotel and other operational departments
- Oversee the operational delivery of weddings and events on the day
- Coordinate event setup and ensure function spaces are presented according to agreed plans
- Manage key wedding transitions including ceremonies, cocktail hour and receptions
- Be present and visible during events, assisting with timing, service flow and client requirements
- Confidently troubleshoot operational issues and make decisions during live events
- Manage and convert wedding and social event enquiries
- Assist with corporate and conference enquiries and bookings when requiredIdentify upselling opportunities across food and beverage, accommodation and event upgrades
- Ensure all event details, payments, documentation and CRM records are accurate and up to date
- Support the wider Conference & Events team during busy periods

About You

We are looking for someone who genuinely enjoys planning events and delivering them operationally.

You will ideally have:

- Previous hands‑on operational experience delivering weddings, functions or hospitality events – essential
- Previous experience in wedding or event coordination
- Strong understanding of event setup, food and beverage service and function operations
- Confidence managing an event on the floor and working directly with operational teams
- Strong organisational and time‑management skills
- Excellent attention to detail
- A warm,



professional and confident communication style
- Ability to build strong relationships with couples, clients and suppliers
- Confidence managing multiple events and competing deadlines
- Experience with quoting, contracts, event documentation and event management systems
- IVVY experience highly regarded
- A commercial mindset with the confidence to upsell and maximise event opportunities
- Ability to remain calm and solutions‑focused in a quick‑paced environment
- Flexible availability across a 7‑day rotating roster, including weekends
- Full Australian work rights

Most importantly, you will be someone who takes ownership of an event and is just as comfortable meeting a couple for their first site inspection as you are coordinating their wedding reception on the night.
