We are seeking a passionate and dynamic Scheduling & HR Assistant to join our team. About the Role :
- Build, publish and maintain accurate staff rosters that match operational demand, budget and skill requirements.
- Manage day-to-day shift coverage — filling gaps, arranging replacements and responding to absences, call-outs and last-minute changes.
- Coordinate and record leave, availability and time-off requests while maintaining adequate staffing.
- Ensure rosters comply with relevant awards, agreements, Fair Work requirements and internal policies.
- Maintain scheduling/rostering systems and keep staff availability records current.
- Act as the first point of contact for staff queries on shifts, hours and roster changes.
- Monitor and report on rostering metrics such as overtime,
unfilled shifts and labour cost against budget.
- Liaise with team leaders to forecast staffing needs for busy periods, events and seasonal demand.
- Coordinate and deliver the induction and onboarding process for new starters, including paperwork, system access and first-day arrangements.
- Conduct preliminary and phone-screening interviews, shortlist candidates againstrolecriteria and provide recommendations to hiring managers.
- Assist with the recruitment process — posting job ads, scheduling interviews, corresponding with candidates and coordinating reference and background checks.
- Maintain accurate, confidential employee records and HR files in line with privacy requirements.
Looking for :
- Strong organizational and time-management skills, with the ability to manage multiple priorities.
- Excellent communication and interpersonal skills when dealing with staff and candidates.
- Previous experience in rostering, scheduling, HR administration, or a similar coordination role.
- Good computer skills, including Microsoft Office and rostering/HR management systems.
- Basic understanding of recruitment, employee records, Fair Work requirements, and workplace confidentiality.
