Business Coordinator | Reporting & Project Support
Our client is an Australian medical technology business that has grown rapid, and is now part of a much larger listed group. That growth has been the good kind and the messy kind all at once. What started as a small, reactive operation is now being properly structured for the next stage, with new leadership across operations, commercial and quality, and a genuine appetite to do things well rather than just do them quickly.
They are honest about where they are. The systems are older than they'd like and the data doesn't always behave. That's precisely why this role exists. If you want to walk into something already polished, this isn't it. If you want to be the person who builds it, keep reading.
It's all about the job
You'll report to the Business Support Manager and work closely with the CEO, and your job is to make sure nothing falls through the cracks.
Two things sit at the heart of it.
The first is business coordination. Leadership meetings happen constantly across the business, and right now there's no reliable way of capturing what was agreed, who owns it and whether it actually got done. You'll be in those rooms, capturing the actions and then chasing them through to completion.
The second is reporting. You'll build the reporting framework from scratch: working out the key metrics with the CEO and your manager, sitting down with each department to work out how to get the data, and creating the fortnightly,
monthly and quarterly reports and dashboards that give leadership clean visibility over how the business is performing.
You'll be working across NetSuite, Monday.com and Excel, with BI access available to build out dashboards as you see fit.
Longer term, as the reporting framework beds down, this role grows into project coordination and delivery, tracking projects across every part of the business. It's a genuinely broad seat with a lot of exposure.
It's all about you
You're organised, hands on and comfortable with detail. You're good with data: cleaning it, making sense of it, spotting the trends inside it and turning it into something a busy CEO can read in thirty seconds.
You're not precious about a mess. You'd rather untangle something than wait for someone else to tidy it first.
You communicate. You close the loop when something's done, you ask the question when you're unsure, and you never assume. You'll be trusted to get on with it, which only works if you're the kind of person who speaks up early when something's in your way.
You don't need to be senior. You do need to be capable, curious and confident enough to build something that doesn't exist yet.
The details
Full time, 38 hours a week, with real flexibility on start and finish times. Four days a week will be considered for the right person, ideally Monday to Thursday. This is an onsite role with the team.
