The NDIS Provider Administrator is responsible for providing high-quality administrative and operational support to an NDIS provider. The role involves managing participant records, service bookings, documentation, invoicing, compliance requirements, and communication with

Key Responsibilities

- Maintain accurate and up-to-date participant records and documentation.

- Manage participant onboarding, service agreements, referrals, and intake documentation.

- Coordinate participant schedules, support services, appointments, and staff availability.

- Process invoices, timesheets, service claims, and payment-related administration.

- Monitor NDIS plan dates, funding, service agreements, and relevant service arrangements.

- Liaise with participants, families, support coordinators, plan managers, support workers, and external providers.

- Maintain compliance with NDIS requirements, organisational policies, procedures, and privacy obligations.

- Prepare reports, spreadsheets, correspondence, forms, and other administrative documents.

- Assist with audits and maintain appropriate evidence and records.

- Manage emails, phone enquiries, filing, data entry, and general office administration.

- Follow up outstanding documentation, invoices, timesheets, and participant information.

- Support incident reporting, complaints administration, and quality-management processes.

- Ensure participant information is handled confidentially and professionally.





- Provide general administrative support to management and the wider NDIS team.

Essential Skills and Experience

- Previous administration experience, preferably within the NDIS, disability, aged care, community services, or healthcare sector.

- Solid understanding of NDIS processes and terminology.

- Excellent organisational and time-management skills.

- High attention to detail and accuracy.

- Strong written and verbal communication skills.

- Ability to manage confidential and sensitive information appropriately.

- Competence with Microsoft Office, email, spreadsheets, and database/CRM systems.

- Ability to prioritise multiple tasks and meet deadlines.

- Professional, respectful, and participant-focused approach.

Desirable

- Experience with NDIS portals, rostering systems, CRM platforms, or practice-management software.

- Knowledge of NDIS claiming, service agreements, support coordination, and participant funding.

- Understanding of NDIS Quality and Safeguards requirements.

- Certificate III/IV or higher qualification in Business Administration, Community Services, Disability, or a related field.
