We are looking for an exceptional Personal Assistant to play an important role in supporting our Managing Director and the broader QuarterFive team. This is a varied and hands-on position suited to someone who thrives in a fast-moving skilled environment, takes pride in being highly organised and enjoys making things happen behind the scenes.
At its core, the role provides proactive executive and administrative support to the Managing Director, including diary and email management, meeting coordination, travel arrangements and management of competing priorities. You will also be an important point of contact for clients and external stakeholders, helping us deliver the high level of professionalism and personalised service expected at QuarterFive.
Beyond traditional support, the role has broad exposure across the business, including corporate events, marketing and communications, people initiatives and the day-to-day management of our East Melbourne office.

What you'll do
- Provide proactive executive and administrative support to the Managing Director, including diary, email, meeting, travel and priority management.
- Coordinate client meetings and interactions, ensuring a seamless and professional experience from beginning to end.
- Organise internal and external meetings, events, seminars and team functions, including catering, technology and supporting materials.
- Support QuarterFive's marketing and brand initiatives, including website content, LinkedIn, communications and campaigns.
- Manage the day-to-day office environment, IT equipment and general administration.
- Support business improvement projects and identify opportunities to improve systems, processes and operational efficiency.
Qualifications
- 2–3+ years' experience in a personal assistant, administration or business support role, ideally within financial or professional services but not essential.
- Exceptional organisation, time management and attention to detail.
- Strong written and verbal communication skills with a professional and client-focused approach.
- The ability to manage competing priorities, anticipate needs and take ownership of tasks through to completion.
- Experience coordinating meetings, projects and events.
- Strong proficiency across Microsoft Office and CRM platforms, with the confidence to quickly learn new technologies.
- Exposure to marketing, events, HR administration or office management will be highly regarded.
- A qualification in business, administration, finance or a related field is beneficial but not essential.
