About the role The Impact Communications team supports philanthropic engagement through the development of compelling donor proposals, impact reporting and fundraising content. Sitting within the Philanthropy team, Impact Communications equips fundraisers with accurate, current and donor-friendly content that strengthens donor relationships and supports investment in Sydney Children’s Hospitals Foundation.
The Packaging Officer manages the end-to-end development of donor proposals, fundraising products and related content. Combining strong project management with hands-on content development, the role turns complex clinical, research and program information into clear and compelling materials for philanthropic audiences.
The role is responsible for scoping and managing content projects, coordinating contributors and approval processes, identifying information and content gaps, and proactively building a pipeline of donor-facing collateral. It works closely with SCHF and SCHN stakeholders to ensure content is accurate, engaging, appropriately approved and aligned with organisational and fundraising priorities.
Job Responsibilities:
Proposal & Content Project Management
- Manage the end-to-end delivery of donor proposals and fundraising collateral, from initial request and scoping through to approval and final delivery.
- Receive and triage requests through Jira, establishing clear objectives, audiences, deliverables,
responsibilities, priorities and timelines.
- Develop project plans and manage multiple concurrent projects against agreed milestones and deadlines.
- Assess existing information and content against donor needs, fundraising objectives and project requirements.
- Coordinate information gathering, content development, design, review and approval processes.
- Brief, coordinate and collaborate with the Proposal Writer, subject-matter experts, creative contributors and other stakeholders.
- Consolidate and facilitate stakeholder feedback, resolving conflicting input and maintaining project momentum.
- Identify and escalate risks, delays or approval issues that may affect delivery.
- Ensure final materials are accurate, professionally presented and ready for use with donors.
- Manage and maintain a central repository of approved fundraising content, program information, and cases for support and supporting assets.
- Act as the primary point of contact for assigned proposal and content projects.
Content Development and Packaging
- Translate complex clinical, research, and program information into transparent, accessible, and compelling narratives for philanthropic audiences.
- Proactively identify fundraising priorities requiring new or updated donor-facing materials.
- Develop and maintain a forward pipeline of fundraising products and content packages aligned with SCHF’s strategic priorities.
- Identify gaps in program information, outcomes of data, patient stories, supporting evidence, and visual assets.
- Ensure content is consistent with organisational messaging, brand, tone of voice and donor communication principles.
- Support the continuous improvement of content templates, packaging models, and quality standards.
Stakeholder Engagement and Governance
- Build effective working relationships with SCHN stakeholders to gather, develop, and approve accurate and meaningful content.
- Escalate content requiring additional review or approval in accordance with SCHF and SCHN processes.
- Coordinate reviews, endorsements and content sign-off through the appropriate governance pathways.
Systems, Reporting & Process Improvement
- Maintain accurate proposal workflows, project records, and reporting through Jira and other relevant systems.
- Develop and improve processes, templates, and tools that enhance efficiency, consistency, and content quality.
- Identify opportunities to streamline workflows and improve visibility of available and upcoming donor content.
Qualifications and Experience:
- Relevant tertiary qualifications in communications, marketing, fundraising,
project management or a related discipline are preferred.
- At least four years’ relevant experience in content development, communications, fundraising, marketing, or project delivery.
- Experience devising and managing fundraising programs or campaigns (preferably within a complex organisation).
- Experience in philanthropy, fundraising, health or the not-for-profit sector is desirable but not essential.
Functional / Technical Skills & Competencies
- Strong project management skills, including the ability to scope work, develop timelines, coordinate contributors, manage risks, and deliver multiple projects concurrently.
- Excellent writing skills, with demonstrated experience producing clear, compelling and audience-appropriate content.
- Ability to understand and translate complex clinical, research, program or funding information into accessible donor-facing communications.
- Strong content judgement, including the ability to identify information gaps, shape narratives, and recommend the most appropriate content format.
- Highly developed stakeholder engagement skills, with the confidence to manage expectations, facilitate feedback, and maintain productive working relationships.
- Strong organisational and problem-solving skills, with the ability to prioritise work and maintain momentum in an environment with competing demands.
- Confidence using Microsoft Office and project or workflow management platforms; experience with Jira and CRM systems is desirable.
- Experience with content design or visual communication platforms such as Canva or Adobe Creative Suite is desirable.
Our Proposal to You:
We are pleased to offer a full-time salary of up to $114,000 plus superannuation for this 12-month contract position. We believe in recognising and rewarding the valuable contributions of our team members.
