- Coordinating and ensuring smooth and professional clinic activities and operations to secure efficiency and compliance to company policies

- Maintaining a high standard of client care and service
- Ensuring the clinic is compliant with NDIS and health and safety regulations
- Monitoring and maintaining inventory levels of office supplies, equipment and resources.
Team leadership and Staff Management
- Recruiting, training, and managing administrative and support personnel.
- Scheduling staff shifts and ensuring appropriate staffing levels to meet clinic demands.
- Conducting regular performance evaluations and provide support for staff development.
- Onboarding recent team members
- Developing Systems Manual
- Training new team members in systems and processes
- Managing therapy teams, admin team and finance team
Financial Management
- Preparing and managing the clinic budget, including expenses, payroll, and billing.
- Overseeing billing processes, insurance, and accounts.
- Monitor clinic financial performance and identify areas for improvement.
Client Experience & Customer Service
- Fostering a welcoming and supportive environment for patients.
- Handling client concerns or complaints with professionalism and resolving issues promptly.
- Working with clinicians to develop and improve client service standards.
Compliance & Quality Assurance
- Ensuring compliance with all relevant NDIS and healthcare regulations and qualified standards.
- Maintaining accurate and up-to-date patient records in accordance with privacy laws.
- Implementing quality improvement initiatives to enhance client experiences and operational efficiency.
Strategic Planning & Business Development
- Developing and implementing strategies to improve clinic services
- Liaising with external partners, healthcare providers, and suppliers as necessary.
- Supporting marketing and business development manager efforts to promote clinic services.
Requirements and skills
- Proven experience in the NDIS sector
- Excellent leadership skills
- Excellent verbal and written communication, problem solving and organisational skills
- Strong knowledge of healthcare operations, particularly in an allied health environment.
- Proficiency in practice management software and Microsoft Office Suite
- Familiarity with office management procedures and basic accounting principles
- Ability to manage a team effectively and promote a positive work culture
- Customer service oriented
- Able to complete complex administrative tasks with minimal supervision
- Be thorough and pay attention to detail
- Able to work well independently as collaboratively with others
- Sensitivity and understanding

Pay: $90,000.00 per year
