About the Role
We are seeking a motivated and organised Project Administrator to join our national practice and support the successful delivery of our landscape architecture, urban design and multidisciplinary projects.
Working closely with Project Managers and the Business operations team, you will play an important role in ensuring projects are accurately established, maintained and supported through our project management systems.
This is an ideal opportunity for someone with 2–3 years’ experience working within a design practice who understands the importance of strong project administration, systems accuracy and supporting project teams to deliver successful outcomes.
The role offers flexibility and the opportunity to work across a diverse range of projects within a collaborative and creative environment.
Key Responsibilities
- Coordinate and administer the setup of new projects across our national practice and associated businesses
- Establish projects within project management systems, ensuring accurate project information, budgets, team allocations and key milestones are captured
- Support Project Managers with the development and maintenance of project programs and schedules
- Assist with the preparation and setup of invoicing schedules and project financial administration
- Maintain project records, documentation and reporting requirements
- Assist with project workflows, systems improvements and process consistency across studios
- Support Project Managers with ongoing project administration requirements
- Coordinate project information between teams to ensure accuracy and consistency
- Provide general administrative support to improve project delivery efficiency
About You
You will be a proactive and detail-oriented individual who enjoys working with project teams and improving the way things are organised and delivered.
You will have:
- 2–3 years’ experience in a project administration role within a landscape architecture, architecture, urban design, engineering or similar design practice
- Experience supporting Project Managers with project setup and administration
- Understanding of project management systems and workflows
- Experience administering project budgets, programs, invoicing schedules and project documentation
- Strong attention to detail and the ability to manage multiple priorities
- Excellent communication and organisational skills
- A willingness to learn, contribute and take ownership of tasks
- Confidence working independently while collaborating with a national team
Experience with project management systems such as Total Synergy, Deltek, Projectworks, Smartsheet or similar platforms would be highly regarded.
