we are looking for a friendly, organised and enthusiastic Receptionist / Administrative Assistant to join our growing team.
This is a full time position based in Marsfield, NSW 2122. As one of the first people our residents, families and healthcare professionals will meet, you’ll play an important role in creating a warm, welcoming and positive experience for everyone who walks through our doors.
Working closely with our team, you’ll help keep our reception and day-to-day administration running smoothly while providing caring and professional support across the facility.
What you'll be doing
- Welcoming residents, families, visitors and staff with a warm, friendly and professional approach
- Managing the reception desk and creating a welcoming first impression
- Answering and directing phone calls to the appropriate department or team member
- Helping scheduling appointments, transport and escort bookings for residents
- Manage enquiries from management, staff, residents and their families, volunteers, clients and external service providers ensuring that issues are appropriately redirected to right personals
- Managing calendars for executive managers when required
- Preparing, processing and maintaining accurate administrative records and documentation
- Assisting with data entry, filing, general record keeping and achieving
- Providing administrative support to different departments, including photocopying, scanning and preparing documents
- Coordinating incoming and outgoing mail and packages throughout the facility
- Assist CEO/CM for any memo, notice distribution and displaying among staff, residents and families
- Helping Management team for general HR tasks such as maintaining staff file, initial set up for new staff members and staff roster
- Helping create a positive, caring and supportive environment for our residents, families and team members
What we're looking for
- Previous experience in a reception or administrative role, aged care sector knowledge is highly valued
- Excellent communication skills, both verbal and written, with the ability to interact professionally with diverse groups
- Strong organisational abilities and attention to detail
- Proficiency with computer systems and office software (Microsoft Office suite)
- Ability to multitask and prioritise workload in a busy environment
- Professional demeanour and a genuine passion for providing quality customer service
- Understanding of confidentiality and privacy requirements, particularly in aged care settings
- Flexibility and willingness to support the broader team as needed
