About the role

We are seeking a dedicated and professional Receptionist to join the Sydney Pain Management Centre in Wahroonga, NSW. This is a part-time position that plays a vital role in ensuring our clinic operates smoothly and our patients receive exceptional first impressions and administrative support. As the first point of contact for our patients, you will be instrumental in creating a welcoming, efficient, and professional environment that reflects our commitment to patient care and clinical excellence.

What you'll be doing

- Greeting patients and visitors with professionalism and warmth, ensuring a positive experience from the moment they arrive

- Managing the reception desk, including answering phone calls, taking messages, and directing enquiries to appropriate staff members

- Scheduling and confirming patient appointments, managing the diary efficiently to minimise waiting times

- Processing patient check-ins and check-outs, including collecting necessary personal and medical information

- Maintaining accurate and confidential patient records in accordance with privacy legislation and clinic protocols

- Processing payments, invoices, and receipts, and reconciling cash registers

- Managing correspondence, including mail distribution and document filing

- Assisting with administrative tasks as required, including data entry and general office management

- Supporting the clinical and administrative teams to ensure the smooth running of the clinic

- Maintaining a clean, organised and professional reception area

What we're looking for

- Proven experience working as a receptionist or in a similar front-of-house administrative role,



preferably in a healthcare or medical setting

- Excellent communication skills, both written and verbal, with the ability to interact professionally with patients, visitors, and staff members

- Strong organisational and time management skills with the ability to prioritise multiple tasks effectively

- Proficiency with computer systems, Microsoft Office, and appointment scheduling software; willingness to learn new systems
- A calm and patient demeanor, with the ability to handle enquiries and concerns with empathy and professionalism

- Attention to detail and accuracy, particularly when handling patient information and administrative documentation
- A commitment to maintaining confidentiality and understanding of privacy and data protection regulations
- A genuine interest in supporting patient care and contributing to a positive clinic environment

- Flexibility and adaptability to work part-time hours that may include early mornings, evenings, or diverse scheduling as required

- Current knowledge of medical terminology is advantageous but not essential; training will be provided
