About the role
Greenworx is seeking a proactive, highly organised, detail-oriented individual to join the team in providing scheduling, coordination and administrative support across projects and day-to-day operations. The successful candidate will be responsible for coordinating schedules, maintaining all job-related documentation including invoicing, quotations, tracking jobs/progress, supporting all team members and ensuring information is communicated accurately and efficiently between internal teams, clients, contractors and suppliers.
Key responsibilities
- Develop, maintain and update project schedules and work programs.
- Complete all invoicing and the distribution of these ongoing to ensure timely payment using MYOB and various client work order portals.
- Assist with Suppliers, Contractors, Purchase Orders, and other project-related documentation.
- Coordinate resources, personnel, contractors, equipment and site activities.
- Schedule meetings, site visits, deliveries and project activities.
- Monitor schedule changes and communicate updates to relevant people.
- Provide day-to-day administrative support to Director, Operations Manager, Contracts personnel and all other teams as needed.
- Maintain client communication/email communication/phone call enquiry files and any other documentation as required.
- Prepare and distribute meeting agendas (toolbox/safety), minutes,
action lists and job updates.
- Liaise with clients, contractors, suppliers and Greenworx Teams.
About you
- Previous experience in project administration, scheduling, coordination or a similar role.
- Strong organisational and time-management skills.
- Excellent attention to detail and accuracy.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities and deadlines.
- Proficiency with Microsoft Office, particularly Excel, Outlook and Word.
- Experience with MYOB, Salesforce or any similar database and Work Order Portals.
- Ability to work independently while also supporting a wider team.
- Strong problem-solving and follow-up skills and the ability to work under pressure.
- Previous experience in construction, engineering, maintenance or a project-based environment is advantageous.
- We are also open to graduates with relevant experience in a similar field or strong transferable skills.
