Are you passionate about delivering exceptional customer service and creating a positive experience for patients, visitors, and staff? Join Western District Health Service as a Reception / Switchboard Operator, where you’ll play a vital role as the first point of contact for our organisation.

This is a role for someone who thrives in a fast-paced environment, values professionalism and teamwork, and takes pride in providing an efficient, friendly, and high-quality service. You’ll manage a wide range of customer enquiries, connect patients and visitors with the support they need, and play a critical role in contacting relevant staff and clinicians during hospital emergency codes.

What You'll Be Doing

As a valued member of our Corporate Services team, you'll provide a professional, welcoming, and responsive service to patients, visitors, staff, and the wider community while supporting the safe and effective operation of Western District Health Service.

Customer Service & Communication —

Serve as the first point of contact for WDHS, delivering a friendly, professional, and high-quality reception and switchboard service. Manage a wide range of enquiries, ensuring callers and visitors are assisted promptly and directed to the appropriate service or staff member.

Switchboard Operations —

Answer a high volume of inbound calls while maintaining agreed response standards. Utilise effective telephone and communication skills to accurately receive, relay, and deliver messages, ensuring timely information flow across the organisation.

Emergency Response Communication —

Play a critical role in hospital emergency procedures by remaining calm under pressure and acting as a key communicator. Ensure relevant staff and clinicians are contacted promptly and accurately in response to emergency codes and critical incidents.

Confidentiality & Professional Practice —

Maintain the highest standards of privacy and confidentiality,



ensuring all information is handled securely and discussed only as required in the performance of your duties. Adhere to WDHS policies, procedures, and professional standards at all times.

Provide administrative assistance and support Finance functions as required, contributing to the efficient operation of the organisation and responding flexibly to changing business needs.

Training & Team Support —

Support the orientation, training, and development of new Reception and Switchboard team members. Contribute to a collaborative, respectful, and supportive team environment.

Technology & Continuous Learning —

Utilise a range of computer systems and software programs for data entry and communication activities. Demonstrate a willingness to learn current technologies, processes, and skills to enhance service delivery.

Quality, Safety & Compliance —

Work in accordance with all WDHS policies, procedures, and safety requirements. Contribute to continuous improvement initiatives and undertake other duties as directed to support the needs of the organisation.

- Excellent customer service skills with a professional and friendly approach.
- Strong verbal and interpersonal communication skills, both over the phone and in person.
- Ability to maintain strict confidentiality and handle sensitive information appropriately.
- Excellent time management skills with the ability to prioritise competing demands.
- Ability to remain calm and respond effectively during hospital emergency codes.
- Strong computer literacy and willingness to learn new systems and technologies.
- Ability to work collaboratively within a team and build positive working relationships.
