iCOST are a commercial consultancy operating out of Sydney, NSW and servicing the whole of the Eastern seaboard of Australia and Perth (
We provide commercial support to Tier 1 and Tier 2 Main Contractors and large Subcontractors.
The role:
We currently have an opening for a Senior Contracts Administrator within our Team.
To be successful in this role, you will have the following:
1. A demonstrable 8+ years experience as a Senior Contracts Administrator/ Contracts Manager/ Commercial Manager
2. Previous experience in a Contracts Administrator role within the building/ commercial/ industrial sectors essential
3. Must have advanced procurement experience
4. Intermediate to advanced proficiency in relevant software packages such as ProcurePro, Microsoft Suite (including Excel) and Bluebeam Revu
5. Experience in CHEOPS/ Jobpac and similar construction accounting software essential
6. Proficiency in CostX/ Cubit advantageous
7. Must be capable of thoroughly administering Contracts, with a solid understanding of how contractual provisions are read, interpreted and followed
8. Must also be able to properly establish entitlements for, analyse and value variations
9. Should be confident and proficient in all aspects of Procurement, including the ability to draft project-specific scopes of work
10. Experience in upstream (Client/ Head Contract) Administration desirable
11. Robust negotiation skills required
12. Degree in Quantity Surveying, Construction Management and/ or Law is desirable but not essential.
Your key tasks will include (but may not be limited to):
1. Procurement of trade packages, including developing comprehensive and accurate project-specific scopes of works and full management of the tender process (analysis, interviews, recommendations,
budget transfers)
2. Contract administration
3. Negotiating with Subcontractors on variations, scope and contract inclusions/exclusions
4. Seeking Subcontractor/ Supplier quotations and proposals
5. Measure, take-off and produce Bills of Quantities (desirable)
6. Assess and validate Subcontractor claims, applying first-principle cost valuation techniques
7. Liaising with relevant teams, design and engineering etc.
8. Assist with monthly valuations and cost reporting
9. Managing Subcontract packages incl. on-site measuring, approving Subcontract progress claims, preparing and issuing responding Payment Schedules via PayApps, through to final account.
10. Invoice reviews and general site administration
11. Regular Site/ Progress Claim walks
12. Change Management - Regularly monitor, check and identify any design changes during the construction phase, assessing cost impacts, negotiating any variations and monitoring projected final account.
13. Manage and drive the review process to ensure the award of all Subcontractors within the required time frame and budget
14. Minimisation of variation claims through firm and thorough contract management and change management
15. Ensure accurate cost forecasting and highlighting any potential risks/ overruns with the relevant project stakeholders
16. Interpret project documentation so as to understand scope of works for the project at Head Contract and Subcontract scope level
17. Preparation of variations, claims and contractual notices
18. Assist with the preparation of Monthly Project Reviews
19. Assess commercial and contractual risks involved in delivery and implementation of projects and identify and implement controls
20. Check compliance and prepare reporting on commercial performance of the contract
