About the role

Boeing Defence Australia is delivering critical defence capability across Australia and New Zealand through innovative engineering and trusted technical support.

We are seeking an experienced Administrative Services Coordinator to provide essential day-to-day administrative and operational support to the Joint Helicopter School (JHS). Based within the 723 Squadron Executive Office, this role plays a key part in supporting the smooth running of the school through a broad range of administrative and site coordination responsibilities.

Boeing Defence Australia (BDA) supports the Australian Defence Force Joint Helicopter School through the Helicopter Aircrew Training System (HATS) Program, located at HMAS Albatross, Nowra, New South Wales.

This is a hands-on, varied and highly rewarding role. You will work across both office-based administration and practical site coordination, managing responsibilities such as digital record-keeping, procurement, logistics and trainee support. We are looking for a highly organised, dependable professional who can confidently adapt between multiple priorities while maintaining a high standard of service.

Responsibilities

As an Administration Services Coordinator, you will:

- Provide general administrative support to the JHS
- Manage incoming and outgoing correspondence through formal digital workflows using Objective
- Maintain accurate JHS statistical records and ensure efficient filing and retrieval of information
- Oversee the management of Squadron vehicles
- Coordinate the procurement of office supplies, catering and event requirements




- Act as the Site Visit Coordinator for the Nowra site, including managing guest arrivals and providing escorts as required
- Oversee the maintenance and updates of the 723 Sqn SharePoint page

Experience/Qualifications

To be successful in this role, you must have:

- Organisational skills: Proven ability to manage multiple routine tasks, registers and schedules effectively
- Technical proficiency: Confidence using SharePoint and standard office and workflow systems
- Practical mindset: Ability to handle a wide range of tasks, from digital filing to physical logistics
- Communication skills: A qualified, reliable and approachable manner when dealing with staff, visitors and vendors

Eligibility:

Applicants must be Australian citizens to meet Defence security requirements and must be willing to undergo the standard government vetting process, including a full life background check. BDA will sponsor and support the required clearance process.
