Your RoleWe have an exciting opportunity for a Facilities & Workplace Advisor to join our Business Services team on a 16-month fixed term contract, working part-time at 0.6 FTE (approximately 3 days per week).
This is a broad, hands‐on role responsible for delivering high quality facilities, records, and business centre services to our Partners, staff, and visitors.
Operating at an advisor level, you will be expected to work with autonomy, exercise sound judgment, and take a proactive approach to the day‐to‐day running of your office – anticipating needs, driving issues to resolution, and acting as a trusted contact for the people around you.Your DutiesFacilities & WorkplaceAct as the dedicated facilities advisor to legal groups and staff - fielding day-to-day queries,
providing clear and practical guidance on space, maintenance, and workplace matters, keeping people informed of progress, and escalating to the Team Leader where requiredProactively coordinate contractors for repairs and maintenance, anticipating issues before they arise and ensuring works are completed on time and to standardSupport space management across the office including allocations, moves, locker and car park assignments - staying ahead of changes and flagging emerging needs earlyTake ownership of WHS compliance activities, workplace inspections, and consumable supplies - maintaining high standards without waiting to be promptedLog, prioritise, and action service requests through ServiceNow, exercising good judgment on urgency and escalationRecords & ArchiveGuide lawyers and staff on records decisions - what to retain, archive, or destroy - in line with firm policy, acting as a knowledgeable and reliable point of contactProactively progress approved destruction batches through the pipeline as the local executor, keeping the process on trackHandle archive retrievals, file movements, and day-to-day records queries in a timely and accurate mannerBusiness Centre & MailDeliver in‐house document production including printing, binding, finishing, and collation to a high standardCoordinate document production handoffs to our outsourced provider - managing job briefs, timelines, and quality checking returned workManage all mail and courier operations accurately and on time, and maintain stationery and consumable stockProcess supplier invoices in line with firm proceduresTechnology & ImprovementUse ServiceNow day-to-day to manage, track,
and close service requests - keeping records accurate and up to dateProactively engage with AI tools and workflow automation as they are introduced, completing training and applying new tools to your workIdentify opportunities to improve processes and practices, and bring ideas to the Team Leader for considerationMaintain accurate SOPs for your work area and support the onboarding of new team membersMore About YouTo be successful in this role, you will be self‐motivated and proactive - someone who takes ownership of their work, looks ahead, and doesn't wait to be told what needs doing.
