About the role
The Shipping Administrator is responsible for coordinating and tracking project-related material deliveries to ensure materials are available to support the timely delivery of the Sydney construction project. Working as part of the project logistics team, the role coordinates shipment schedules with production facilities, freight forwarders, warehouse operators and logistics providers in accordance with the project installation schedule. The role maintains visibility of warehouse inventory, incoming shipments and project material demand, coordinating the movement of materials from the intermediate warehouse to the construction site in accordance with installation priorities. Working closely with the Shipping Coordinators, Site Manager and Installation Supervisors, the Shipping Administrator monitors delivery performance, coordinates logistics activities and resolves delivery issues to minimise disruption to the project schedule.
Key responsibilities
Coordinate domestic and international shipments to support project delivery schedules
Obtain and evaluate freight quotations from local and international shipping providers to achieve cost-effective transport solutions
Coordinate customs clearance activities to facilitate the timely importation of project materials
Prepare and maintain shipping, import and customs documentation
Maintain visibility of warehouse inventory, incoming shipments and project material availability
Coordinate transport requests from intermediate warehouses to the construction site
Develop and maintain effective working relationships with freight forwarders,
transport providers, customs brokers, suppliers and warehouse operators
Maintain accurate shipment, freight and warehouse records
Prepare logistics reports and provide regular updates on shipment status and delivery performance
Contribute to the continuous improvement of logistics processes and material flow across the project
About you
Minimum 3 years' experience coordinating domestic and international freight, shipping or logistics activities within a construction, manufacturing, automation or industrial workplace
Experience liaising with freight forwarders, customs brokers, transport providers and suppliers
Experience obtaining freight quotations, coordinating shipments and monitoring delivery schedules
Sound understanding of import/export documentation, customs processes, duty and tariff concessions
Experience coordinating warehouse movements and inventory
Demonstrated ability to prioritise competing logistics activities within a project environment
Strong organisational and planning skills with the ability to manage multiple priorities and meet deadlines
High level of attention to detail and accuracy
Well-developed communication and stakeholder management skills
Intermediate to advanced Microsoft Office skills, particularly Excel
