The Company: A well-established event management company based in Melbourne is looking for an Event Executive with a strong interest in exhibitions to join their collaborative and experienced team.
The company delivers a diverse range of conferences, exhibitions and professional events, managing projects from initial planning through to onsite delivery.

Position Terms: Full-Time Permanent Role Melbourne-based position Salary: $75,000 - $85,000 plus super Some travel and onsite event work required The Role: The Event Executive will work closely with Event Leads and the wider event team to assist with the planning, coordination and delivery of exhibitions, conferences and associated event programs.
A key focus of the role will be exhibitor and sponsor management, including managing online portals, coordinating exhibitor requirements, liaising with venues and suppliers, supporting floorplan and logistics requirements and ensuring exhibitors receive a high level of service throughout the event lifecycle.
The role will also provide exposure to delegate registration, event technology, speaker coordination, accommodation and onsite event delivery, making this a great opportunity for someone who enjoys the operational detail behind successful exhibitions.
Key responsibilities will include: Assist with the planning and delivery of exhibitions and conference events.
Manage exhibitor communications and act as a key point of contact for exhibitor requirements.
Build, test and maintain exhibitor portals and online event sites using EventsAir.
Coordinate exhibitor information including profiles, inclusions, approvals and event requirements.
Assist with exhibitor bookings, invoicing, payments and financial administration.
Liaise with exhibitors regarding floorplans, venue approvals and operational requirements.
Coordinate sponsor requirements and assist with fulfilment of sponsorship entitlements.
Work closely with venues and suppliers regarding exhibition logistics and event delivery.
Assist with floorplans, room set-ups, signage, catering and venue requirements.
Coordinate event collateral, signage, name badges, exhibitor materials and delegate items.
Assist with sourcing suppliers, obtaining quotes and coordinating event materials.
Support delegate registration, communications and customer service.
Build and manage registration portals, event websites and mobile apps.
Assist with speaker management and presentation requirements where required.
Support accommodation, travel and other event logistics.
Prepare reports, status updates and event documentation.
Assist with running sheets, onsite operations manuals and event briefing documents.
Provide onsite exhibition and registration support.
Liaise with exhibitors, sponsors, delegates, suppliers and venue teams onsite.
Assist with troubleshooting and resolving operational issues during event delivery.
Work collaboratively with the wider event team to ensure all event components are delivered smoothly and professionally.
The Candidate: The successful candidate will have previous experience within events, exhibitions, conferences or a related environment and will enjoy working across the detailed operational elements of event delivery.
You will be highly organised, confident communicating with exhibitors and suppliers and comfortable managing multiple deadlines and stakeholders at once.
The successful candidate will also have: Previous experience in exhibitions, conferences or event coordination.
Experience working with exhibitors, sponsors or event partners.
Strong event logistics and administration experience.
Experience with EventsAir would be highly regarded.
Confidence working with exhibitor portals, registration systems and event technology.
Strong supplier and venue liaison skills.
Excellent customer service and stakeholder management skills.
Solid written and verbal communication skills.
Excellent organisational and time management skills.
Strong attention to detail and accuracy.
The ability to manage multiple events, exhibitors and deadlines simultaneously.
A proactive and solutions-focused approach.
Strong computer and technology skills.
The ability to work effectively as part of a collaborative event team.
Flexibility to work onsite and travel when required.
A genuine passion for exhibitions and events.
