We are looking for a motivated, reliable and ambitious
Medical Receptionist & Clinical Assistant
who is interested in building a long-term career within specialist healthcare.
This is not a conventional medical reception role. The successful candidate will be trained across both specialist medical administration and selected cardiology investigations, providing the opportunity to develop broader skills within cardiovascular healthcare.
The Position
This is a
full-time, on-site position
combining:
Medical reception and administration
Patient coordination
Procedure and theatre bookings
Medical billing
Clinical assistance
Basic cardiology investigations
Cardiac device clinic support
The successful candidate will work closely with our administrative and clinical team and will progressively be trained to work independently within established practice protocols.
Key Responsibilities
Medical Reception and Administration
Managing patient appointments, bookings and confirmations
Answering telephone, email and other patient enquiries
Welcoming patients and providing a professional and positive patient experience
Maintaining accurate patient demographic and medical information
Ensuring valid referrals and treating specialist information are recorded
Processing incoming referrals
Processing and escalating clinical enquiries according to practice protocols
Liaising with patients, doctors, hospitals and other healthcare providers
Maintaining accurate electronic records and documentation
General administrative duties required within a specialist medical practice
Patient and Procedure Coordination
Coordinating patient appointments, investigations and procedures
Arranging procedural bookings and theatre bookings
Providing patients with procedure information,
quotations and booking instructions
Coordinating follow-up appointments and investigations
Liaising with hospitals, specialists and procedural facilities
Supporting patients throughout their treatment journey
Assisting with patient satisfaction and service initiatives
Billing and Accounts
Medicare billing and claiming
DVA billing
Private health insurer and third-party billing
Processing patient accounts and payments
Preparing quotations for procedures where required
Assisting with billing reconciliation and related administrative tasks
Clinical Assistant Duties
Training will be provided where required.
Duties may include:
Performing 12-lead ECGs
Applying and removing ambulatory blood pressure monitors
Assisting with Holter and other ambulatory cardiac monitoring
Assisting clinicians during consultations
Assisting with exercise stress testing under appropriate supervision
Preparing patients and clinical rooms for investigations
Maintaining clinical equipment and consumables
Supporting cardiac device clinics
Assisting with other cardiology investigations as training and competency develop
All clinical duties will be performed in accordance with practice protocols, training and the employee's level of competency.

Essential Skills and Experience
Applicants should have:
Robust computer skills
Proficiency with Microsoft Office, including Outlook, Word and Excel
Excellent written and verbal communication skills
Strong organisational and time-management skills
A high level of professionalism and confidentiality
Accurate data-entry and record-keeping skills
Experience working with medical practice software
Understanding of Medicare billing processes
Previous experience within a specialist medical practice, general practice or allied health environment will be highly regarded.
Desirable Experience
The following would be advantageous but are not essential:
Two or more years of medical administration experience
Previous specialist medical reception experience
Medicare, DVA and private billing experience
Cardiology experience
Experience with theatre or procedural bookings
Experience performing ECGs or other basic clinical investigations
Cardiac device clinic experience
Accounting or bookkeeping experience
Clinical research experience
