NDIS Allied Health Administrative Assistant
Roaming Therapy is seeking a friendly, organised and proactive
Allied Health Administrative Assistant
to support our growing mobile allied health team.
This is an
NDIS-focused administrative role
and will suit someone who enjoys working with clients, participants, families, support coordinators and healthcare professionals while keeping a busy allied health service organised behind the scenes.
As an important first point of contact for our Company, you will play a key role in creating a positive experience for our clients from their initial enquiry through to ongoing service delivery.
You will also work closely with our clinicians and management team to coordinate appointments, manage referrals, maintain accurate client records and assist with the day-to-day administration required to keep our services running smoothly.
Key Responsibilities
Respond to new and existing client enquiries via phone, email and online referrals
Assist with the intake and onboarding of new NDIS participants
Communicate professionally with participants, families, carers, support coordinators and plan managers
Coordinate clinician calendars and schedule client appointments
Match new referrals with appropriate clinicians based on location, availability and service requirements
Follow up referrals and assist prospective clients through the onboarding process
Create and maintain accurate client records within our practice management system
Collect relevant NDIS, funding and referral information
Assist with service agreements and other client documentation
Support clinicians with scheduling, cancellations, rescheduling and general administrative requirements
Monitor emails, incoming calls and administrative requests
Maintain accurate records and ensure client information is kept up to date
Assist management with general operational and administrative tasks
Provide a high standard of customer service across every client interaction
About You
We are looking for someone who is:
Highly organised with excellent attention to detail
Friendly, professional and confident communicating over the phone
Comfortable managing a high volume of calls, emails and administrative tasks
Able to prioritise competing tasks in a fast-paced workplace
Confident using practice management systems and other online software
Reliable, proactive and able to work independently
A strong written and verbal communicator
Compassionate and comfortable communicating with people with disability, families and carers
Focused on providing an excellent client experience
Highly Regarded
Previous experience in one or more of the following will be highly regarded:
NDIS administration
Allied health administration
Medical or healthcare reception/administration
NDIS participant intake and onboarding
Working with support coordinators and plan managers
Allied health appointment scheduling
Practice management software
Physiotherapy, Occupational Therapy, Speech Pathology or Exercise Physiology administration
