Operations & Crew Coordinator
to join our Sydney team and play an important role in keeping our people, projects and operations running smoothly.

About the Role
Reporting to the Operations Manager, the
Operations & Crew Coordinator
will provide coordination and administrative support across our operations team with a particular focus on crew scheduling, resource planning, project coordination and day-to-day operational support.
You'll be a key point of contact for our casual crew and will work closely with the whole team to ensure projects are properly resourced, information is communicated clearly and crew administration is kept accurate and up to date.
This is a varied role suited to someone who enjoys being organised, solving problems and working in a fast-paced environment where priorities can change quickly.
What You'll Be Doing
Crew Coordination
Acting as the first point of contact for our casual crew members, including riggers, scaffolders and equipment operators.
Scheduling and allocating crew to upcoming projects, ensuring all project information is correctly communicated.
Managing last-minute scheduling changes and solve resourcing issues as they arise with the support of the wider team.
Maintaining accurate crew database and updating crew availability within the resource planning system.
Assisting with the recruitment, onboarding and administration of new crew members.




Work closely with the Operations team to ensure projects are appropriately resourced.
Operations & Project Support
Assisting with day-to-day operational planning and project coordination.
Coordinating travel and accommodation arrangements when required.
Preparing and maintaining project-related documentation.
Supporting the Operations Manager with general coordination tasks.
Assisting with smaller equipment hire enquiries and projects.
Coordinating warehouse prep requirements and ensure equipment is ready for upcoming projects.
Processing customer orders and payments.
Supporting the Operations Manager with general coordination tasks and operational projects.
Administrative Support
Answering and directing phone calls and emails.
Processing crew timesheets on a weekly basis.
Collating expense claims and assist with petty cash administration.
Work closely with the Finance team to ensure crew payments are processed on time and resolve invoice or timesheet queries.
Providing general administrative support to managers and directors.
Maintain accurate records and documentation across our operational systems.
Office Administration
Maintaining office supplies and stationery.
Collecting mail and attending to occasional banking tasks.
Assisting with the general day-to-day running of the office and contribute to a well-organised and professional working environment.
About You
We're looking for someone who is organised, personable, reliable and solutions-focused, with the ability to manage multiple priorities while maintaining accuracy and attention to detail.




You'll ideally have:
Excellent organisational and time-management skills.
Strong written and verbal communication skills.
The ability to confidently communicate with a wide range of people, from casual crew through to clients, managers and suppliers.
A calm and practical approach to problem-solving, particularly when managing last-minute requests and schedule changes.
The ability to manage competing priorities and tight deadlines in a rapid-paced environment.
Strong attention to detail and a high level of accuracy.
A proactive, positive and "can-do" attitude.
The ability to work independently while also being a collaborative team member.
Confidence using Microsoft Office, particularly Outlook, Word and Excel.
A current driver's licence.
Previous experience in events, entertainment, film, television, construction, logistics, crewing or a similar fast-paced industry would be highly regarded but is not essential.
Training and support will be provided to the right candidate.
