Executive Assistant & Administration CoordinatorThe Reily Foundation | Adelaide CBD | Full-Time | SCHADS Level 3About the roleAs Executive Assistant & Administration Coordinator, you will be a trusted support to the CEO and a central point of coordination across the organisation.
Your role will span executive support, governance, administration, office operations, stakeholder engagement and project coordination.
You may start your day coordinating the CEO's diary and preparing a briefing for an important stakeholder meeting, move into preparing papers for the Board, and later assist with a funding proposal, organisational event or communication piece.
You'll have the opportunity to use your judgement, initiative and organisational skills while working with a high degree of autonomy.Key responsibilitiesProviding proactive, high-level executive support to the CEOManaging the CEO's diary, meetings, appointments, correspondence and competing prioritiesCoordinating Board and Committee meetings, agendas, papers, minutes and action registersPreparing and formatting executive reports, briefing papers, presentations, submissions and professional correspondenceLiaising with Board members, government representatives, funders, community stakeholders and external partnersCoordinating day-to-day office administration and organisational operationsManaging shared organisational enquiries and ensuring matters are appropriately responded to or escalatedMaintaining organisational records, databases and document management systemsCoordinating meetings, workshops,



events and stakeholder engagement activitiesSupporting strategic and organisational projectsAbout youDemonstrated experience providing high-level support to a CEO, Executive Director, Board or senior leadership teamStrong experience in executive administration and office coordinationExcellent written communication, editing and proofreading skillsExperience preparing Board papers, agendas, minutes and governance documentationAdvanced diary and calendar management skillsExcellent organisational skills and exceptional attention to detailStrong stakeholder engagement and relationship-building skillsConfidence working autonomously and exercising sound judgementHigh-level proficiency across Microsoft 365, including Outlook, Word, Excel, PowerPoint, Teams and SharePointThe ability to manage confidential and sensitive information appropriatelyAbout usThe Reily Foundation is an independent South Australian not-for-profit organisation supporting parents navigating the child protection system.
