Team Assistant | 6-month contract | Full-time hours | 4 days in the office | $45–$60 per hour + superAre you an experienced Team Assistant, Senior Administrator, Personal Assistant or Executive Assistant looking for a varied contract opportunity where no two days are quite the same?
We're working with a growing and skilled organisation in Norwest looking for a proactive, organised and hands‐on individual to work closely with the CFO and help keep the day‐to‐day operation running smoothly.This isn't a traditional Executive support role.
While there is an element of calendar and meeting coordination, the role is equally focused on hands‐on administration, coordination and making sure things get done.We're also open to candidates who are looking for a 4‐day‐per‐week opportunity, providing some flexibility around working arrangements.What's on offer?
Role type: 6-month contract with potential to become permanentHours: Full-time, ideally 8:30 am–5:00 pmLocation: Norwest, NSWOffice days: 4 days in the office + 1 day WFHHourly rate: $45–$60 per hour + superEnvironment: Friendly, professional and collaborativeReporting to: CFOExposure: Regular interaction with senior stakeholdersRole scope: Team Assistant, executive support and general administrationAbout the roleYou'll be the person who keeps things moving behind the scenes.
Working closely with the CFO, you'll start each day by understanding the key priorities and then take ownership of making sure everything gets done.Your day could include coordinating complex meetings, managing calendar requirements, preparing the boardroom, organising catering, supporting Town Halls, coordinating travel or simply jumping in to solve whatever needs attention.The role will evolve as you settle in,
build relationships and learn how the business operates.Your responsibilities may include:Coordinating meetings involving multiple senior stakeholdersManaging calendar and meeting coordination for the CFOLiaising with stakeholders to coordinate availabilityPreparing boardrooms and meeting rooms for meetings and presentationsCoordinating catering, coffees and other meeting requirementsOrganising printing, scanning, binding and document preparationAssisting with monthly Town Halls and staff eventsCoordinating travel through the company's travel booking providerSupporting staff celebrations and milestonesHelping with the practical/logistical side of internal eventsSupporting Board meeting coordination once established in the roleGreeting and coordinating visitors and guestsOrganising vouchers, certificates and other staff requirementsProviding general administrative support and assisting with ad hoc requestsWe're looking for someone who is:Highly organised, proactive and reliableAction-oriented with a genuine "get it done" attitudeConfident dealing with senior stakeholdersA natural problem solver who can use initiativeProfessional, approachable and personableComfortable picking up the phone and following people upHappy to be hands‐on and get involved in whatever needs doingComfortable managing changing prioritiesSomeone who enjoys being the go‐to person who keeps things movingConfident working independently while closely supporting a senior leaderThe cultureYou'll be joining a friendly and engaging team within a professional corporate environment.
