Senior Administrator - Advisory Committees & Governance
Mills Recruitment is partnering with an established and diverse group of companies operating across mining, transport and associated industries to recruit an experienced Senior Administrator - Advisory Committees & Governance.

This is a unique opportunity for an organised and capable administrator who enjoys coordinating senior stakeholders, managing meetings and documentation, and ensuring actions are followed through.
The position offers genuine flexibility, with the business open to candidates seeking either full time employment or a part-time arrangement of three to four days per week.

The Role
Working across the wider group of companies, you will be responsible for providing high-level administrative and coordination support to nine Advisory Board Committees.

This is not a traditional Board Administrator or Executive Assistant position, and previous experience directly supporting a Board is not essential.
Your focus will be on ensuring committee meetings run smoothly, documentation is prepared and distributed accurately, minutes and actions are captured, and communication flows effectively between committee members and stakeholders across the businesses.

Key Responsibilities

- Coordinate and schedule meetings across the nine Advisory Board Committees
- Liaise with committee members, Board representatives, executives, managers and key stakeholders
- Coordinate diaries and meeting availability
- Prepare and distribute agendas, meeting papers and supporting documentation
- Attend meetings and produce clear, accurate and professional minutes
- Record decisions, actions, responsibilities and agreed timeframes
- Follow up outstanding actions with relevant stakeholders
- Maintain accurate committee records and documentation




- Review documentation to ensure information is complete, accurate and appropriately presented
- Provide governance-related administrative support across the group
- Coordinate information between committees and the wider businesses
- Handle confidential and commercially sensitive information appropriately
- Provide additional high-level administrative support when required
- Assist with administration relating to the group's charitable foundation and committee activities
- Support charitable initiatives, meetings and communications
- Manage multiple priorities across a diverse group of businesses

About You

We are looking for an experienced administrator who is organised, adaptable and comfortable dealing with senior stakeholders.
You don't need to come from a formal Board or Company Secretary background. The priority is finding someone with strong administration experience who can confidently coordinate committees, meetings, documentation and follow-up actions.
Ideally, you will bring:

- Previous experience as a Senior Administrator, Committee Administrator, Executive Support, Governance Support or similar
- Experience coordinating formal meetings involving multiple stakeholders
- Strong minute-taking skills
- Experience preparing agendas, meeting packs and supporting documentation
- Excellent attention to detail
- Strong organisational and diary-management skills
- Excellent written and verbal communication




- Confidence communicating with senior managers and stakeholders
- Ability to manage confidential and sensitive information
- Robust follow-up skills with the ability to track actions and deadlines
- Good Microsoft Office and general systems capability
- Ability to work independently and use initiative
- A flexible, positive and easy-going approach to work

Previous experience within transport or construction would be advantageous, but is not essential.
The business is open on the level of seniority and isn't necessarily looking for someone with extensive governance or Board experience. However, you will need to demonstrate solid administration experience and the ability to operate effectively in a senior stakeholder environment.

What's On Offer

- $80,000 - $120,000 + Super, depending on experience
- Permanent position
- Full-time or part-time - 3 to 4 days per week
- Flexible working hours, generally around 8:30am - 5:00pm
