The Role

The Payroll and Family Accounts Officer supports the day-to-day operations of the Business Services Unit

across payroll, accounts receivable and finance administration. The role is responsible for accurate and

timely payroll processing and for maintaining complete, accurate and timely family fee and debtor

information.

A substantial component of the position is providing professional, respectful and compassionate service

to employees and families, while ensuring that payroll and family account processes comply with

legislation, industrial instruments, School policy and approved procedures.

The role upholds the value of Christ-centred education when engaging with external stakeholders and

when working alongside colleagues and other areas of the School community.

This is a full-time position, 48 weeks per year. The Payroll and Family Accounts Officer reports to the

Finance Manager on a day-to-day basis and is responsible to the Business Manager.

Faith Basis of Appointment

We see the appointment of staff to Trinity Christian School as a ministry calling.

The ethos, aims and objects of a Christian School are based on:

> acceptance of the lordship of Christ; and

> acceptance of the Bible as the revealed Word of God.

Within Trinity Christian School these are expounded in the Doctrinal Basis.

The Doctrinal Basis does not exhaust the extent of the beliefs of the School and its members. The Bible

itself, as the inspired and infallible Word of God, that speaks with final authority concerning truth, morality,

and the proper conduct of mankind, is the sole and final source of all that the School and its members

believe.

You must support the School in these areas and set an example of personal conduct and behaviour

consistent with the School’s beliefs and ethos as outlined in documents made available to prospective

employees prior to interview. Any appointment is conditional upon staff maintaining and demonstrating a

continuing firm personal belief and lifestyle consistent with the School’s Doctrinal Basis and the other

documents provided to staff, this being an essential condition of the appointment.

Key Areas of Responsibility

Payroll Administration
> Process the School’s fortnightly payroll accurately and within designated timeframes.

> Maintain employee payroll records, including appointments, salary changes, allowances, deductions,

leave balances and employment variations.

> Process new employee commencements, changes to employment and terminations.

> Apply relevant taxation, superannuation, Single Touch Payroll, industrial instrument and School policy

requirements.

> Complete payroll reconciliations and prepare payroll reports as required.

> Process authorised salary packaging, novated lease and payroll deduction arrangements.

> Respond to employee payroll enquiries in a timely, accurate and professional manner.

> Maintain strict confidentiality and appropriate security over payroll and employee information.

Trinity Christian School (K-12) School Fees




> Populate and publish annual fee schedules, the Annual Fee Pack and supporting fee information.

> Administer approved Fee Relief, Pastor Discount, Staff Discount and other fee concession programs.

> Run annual fee billing and communicate relevant information to families.

> Provide required family contact details, annual account information and adjusted invoices to the

School’s external fee management provider, and liaise as needed.

> Adjust fee accounts for new, departing or changing enrolments in accordance with School policy and

procedures.

> Distribute fee statements and account correspondence to families as required.

> Respond to family enquiries regarding school fees and payment arrangements in a timely, professional

and compassionate manner.

> Monitor outstanding accounts and follow up families in accordance with School collection policy and

procedures.

> Maintain accurate records of contact, collection activity and approved payment arrangements.

> Reconcile the tuition fee accounts in Xero and TASS at the end of each month.

> Compile monthly reports on debtors and fee collection rates for the Finance Manager and Business

Manager.

> Liaise with debt collection or other external providers in accordance with School policy and approved

directions, where required.

Debtor Records and Files
> Maintain complete and accurate digital debtor records and files.

> Maintain approved fee, discount and concession data and rates.

> Protect confidential family financial information in accordance with School privacy and records

management requirements.

Financial Administration
> Perform monthly reconciliations relating to payroll and family accounts.

> Assist with end-of-month, end-of-year and annual audit processes.

> Prepare requested records and supporting documentation for financial reporting and audit purposes.

> Assist with budget monitoring and finance administration as directed.

> Maintain data integrity across payroll, financial and student management systems.

Systems and Administration Support
> Use and support relevant systems, including Microsoft 365, Xero, TASS, ApprovalMax, DocuSign,

EFTSure and other approved platforms.

> Assist with system improvements, process documentation and efficiency initiatives.

> Provide guidance and basic training to staff in relevant finance systems and processes.

> Provide administrative support to the Finance Manager and Business Manager, including projects,

digital documentation, reports and presentations.

Contribute to the Effectiveness of the Finance Team
> Learn related tasks and participate in cross-training to support finance team members during busy

periods or leave.

> Provide support for accounts payable, purchasing and other finance functions when required.

> Contribute to continuous improvement and the consistent application of approved finance

procedures.

> Undertake other tasks or responsibilities consistent with the role and classification, as requested by

the Finance Manager or Business Manager.

Contribute to a Safe and Healthy Workplace by
> Following Work Health and Safety instructions, procedures and policies.

> Reporting accidents, incidents and hazards promptly.

> Caring for personal safety and the safety of colleagues, visitors, students, parents and volunteers who

may be affected by actions or inaction.

Other Duties
> Participate in and support the faith community of the School through prayer and communal worship

activities.

> Model the faith and values of the School in interactions with colleagues, students, parents and the

wider community.

> Attend staff meetings on days when rostered to attend for work.

> Attend the annual whole staff retreat.

> Attend devotions on days and at times when at work. Staff may voluntarily attend staff devotions

outside allocated work times.

> Participate in School activities requiring staff participation.

> Undertake other duties as required.

Selection Criteria

Qualifications and Experience
> A personal acceptance of the Lordship of Christ and regular attendance at a Christian church that holds

a doctrinal position compatible with the School’s Doctrinal Basis.

> Certificate IV or diploma in accounting, finance, payroll administration, business administration or a

related field, or equivalent demonstrated experience.

> Demonstrated experience administering payroll, including reconciliations and statutory obligations.

> Demonstrated experience in accounts receivable, debtor management or family accounts

administration.

> Experience interpreting awards, enterprise agreements and payroll legislation.

> Experience using payroll, financial management and database systems, with demonstrated capacity to

learn current systems and procedures.

> Intermediate to advanced Microsoft Excel skills and sound capability across Microsoft 365.

> Experience using Xero and TASS is highly desirable.

> Experience in a school or education environment is desirable.

Salary

This position will come under the terms and conditions of the ACT Christian Schools General Staff Multi-

Enterprise Agreement 2021 or its replacement and is classified under the Core Stream as a School

Administrative Services Level 4.

Employment Conditions

Employment will be subject to the conditions of the current ACT Christian School General Staff Multi-

Enterprise Agreement 2021 or its replacement. The salary and classification for this position will be

dependent on the qualifications and experience of the successful applicant.
