Our client, a highly regarded specialist practice located in Carlton, is seeking a professional, compassionate and highly organised Medical Secretary to join their dedicated team.

About the Role
As the first point of contact for patients, you will play a key role in creating a welcoming and professional experience while ensuring the efficient day-to-day operation of the practice. Working closely with specialists, allied health professionals and the administration team, you will provide outstanding support and contribute to the delivery of high-quality patient care.
Key Responsibilities:
- Answering telephone enquiries in a courteous and professional manner
- Managing appointments and patient bookings
- Billing/invoicing
- Liaising compassionately with patients and their families
- Communicating effectively with GPs, specialists, allied health professionals and their staff
- Receive and convey messages in writing, verbally and electronically
- Managing patient correspondence, scanning, filing and document preparation
- Handling incoming and outgoing mail
- Use of Xestro medical software
- Process patient accounts and receipt of the same
- Processing cash, EFTPOS and other payments in accordance with billing procedures
- Monitoring and ordering stationery and clinical supplies
- Coordinating meetings as required
- Maintaining confidentiality and adhering to practice policies and procedures
- Assisting in maintaining a clean, organised and professional practice environment
- Supporting quality improvement, risk management and accreditation processes
- Performing additional administrative duties as directed by the Practice Manager or Principal Doctors
About You:
- Proven experience as a Specialist Medical Secretary
- Strong knowledge of Medicare Benefits Schedule (MBS) processes
- Understanding of medical terminology and healthcare environments
- Excellent communication and interpersonal skills
- High attention to detail and accuracy
- Computer literacy (ideally Xestro)
- A professional presentation and compassionate approach to patient care
- The ability to multitask and remain calm under pressure
- Understanding of general practice accreditation and standards
Hours of Work:
This position requires an average commitment of 4 days per week, working 9:00 am to 4:00 pm. Additional hours may occasionally be required during periods of increased demand.
