Patient Coordinator

About the Role

We are looking for a warm, confident and highly personable Patient Coordinator to join our growing team at Doctor Vein & DRV Skin in Frankston.

This is not simply a traditional medical reception role.

We are looking for someone who genuinely enjoys speaking with people, builds rapport easily and can guide patients confidently from their initial enquiry through consultation, treatment and follow-up.

The role combines patient coordination, customer service, relationship building and administration. You will often be the first point of contact for our patients and will play an important role in helping them feel comfortable, informed and confident about their treatment journey.

We want someone who is naturally engaging, listens well, understands what patients need and is comfortable helping them take the next step on their treatment journey.

Key Responsibilities

- Being a warm and welcoming first point of contact for patients
- Responding to enquiries via phone, email, website and CRM
- Building genuine rapport with prospective and existing patients
- Explaining our consultation and treatment pathways clearly and confidently
- Helping patients progress from initial enquiry to consultation and treatment booking
- Following up patients who have made an enquiry, attended a consultation or are considering treatment
- Answering common questions and helping patients feel comfortable about their next steps
- Coordinating consultation and treatment appointments




- Helping optimise appointment schedules and clinic bookings
- Processing payments and Medicare claims
- Managing patient records and general clinic administration
- Assisting with emails, accounts and other administrative tasks
- Supporting the doctor and clinical team to ensure the clinic runs smoothly
- Contributing to an exceptional patient experience from first contact through to aftercare
- Playing an active role in supporting the continued growth of the clinic

There may also be occasional travel to our Warragul clinic once or twice a month.

About You

You may already work in healthcare, but you don't necessarily need medical experience.

What matters most is your personality, communication skills and ability to connect with people.

- Confident speaking with patients by phone and in person
- Comfortable discussing services, treatment options and costs

- Reliable and able to take ownership of your responsibilities
- Able to manage multiple tasks in a busy clinic environment
- A fast learner who is comfortable using different computer systems




- Someone who notices what needs to be done rather than waiting to be asked
- Professional, polished and genuinely interested in providing outstanding service
- Someone who enjoys being part of a small team where everyone contributes

Experience in customer service, cosmetic/dental/medical clinics, health or wellness would be highly regarded, but is not essential for the right person.
