We are looking for highly organised Compliance Officer to join our growing team and help strengthen compliance, quality assurance and consistency across all VHCC regions.
About the Role
The primary responsibility of the Compliance Officer will be to establish a structured, consistent and uniform compliance system across the organisation .
You will work closely with Service Officers, Rostering Officers, accounts department, management and our external compliance consultant to ensure that participant and support worker documentation from all regions is properly uploaded, maintained and managed through a centralised platform.
The role will play an important part in creating uniformity, accountability and audit-ready systems across VHCC .
You will also ensure that VHCC continues to operate in accordance with the NDIS Quality and Safeguards Framework, NDIS Practice Standards, Code of Conduct, Pricing Arrangements and internal policies .
Key Responsibilities
NDIS Compliance & Quality Assurance
Monitor organisational compliance with NDIS Quality and Safeguards Commission requirements.
Keep up to date with changes to NDIS Practice Standards, Code of Conduct and Pricing Arrangements.
Conduct internal compliance audits across participant files, support worker files and service delivery.
Assist with preparation for external audits, surveillance audits and NDIS spot checks.
Work closely with external compliance consultants, auditors and internal stakeholders.
Organisational Systems & Documentation
Establish a consistent documentation and compliance system across all VHCC regions.
Ensure Service Officers and Rostering Officers maintain participant and support worker records on the designated centralised platform.
Maintain audit-ready documentation across organisational systems, including CRM and internal platforms.
Develop and maintain compliance dashboards, action registers and continuous improvement records.
Ensure privacy, confidentiality and information-security requirements are followed.
Governance & Quality Registers
Manage and regularly review key organisational registers, including:
Conflict of Interest Register
Mandatory Training Register
Feedback and Complaints Register
Participant & Support Worker File Audits
Conduct regular audits across Box Hill, Ballarat and Maitland to ensure required documentation is complete and current.
We have dedicated Service Officers who manage participant files and Rostering Officers who manage support worker files. As the Compliance Officer, your role will be to monitor, review, and maintain compliance across both participant and support worker documentation , ensuring records are complete, current, consistent, and compliant with NDIS and organisational requirements.
Funding & Service Agreement Compliance
We have an established Accounts team responsible for processing NDIS claims. As the Compliance Officer, you will work closely with the Accounts team to monitor and audit claims, ensuring they align with participant funding, Service Agreements, applicable NDIS pricing arrangements, and supports actually delivered.
Conduct internal audits of relevant accounts processes.
Ensure Service Agreement line items align with participant NDIS plans.
Check that Service Agreements align with entries in Ezaango.
Monitor participant funding utilisation to ensure services remain within allocated budgets.
Conduct regular audits of SIL properties.
Monitor safety, hygiene and NDIS compliance requirements.
Ensure environmental and participant risk assessments remain current.
Review fire safety, emergency evacuation and incident-reporting procedures.
Ensure risks are reviewed and updated following incidents.
Incidents, Complaints & Continuous Improvement
Monitor incidents, complaints and feedback.
Ensure issues are properly investigated, documented and closed.
Work with relevant managers and team members to implement corrective actions.
Identify opportunities for continuous improvement across the organisation.
Staff Training & Compliance Support
Monitor completion of mandatory and refresher compliance training.
Assist team leaders in implementing corrective actions arising from audits.
Educate and support regional teams to maintain consistent compliance standards.
About You
You will ideally have:
Strong knowledge of the NDIS Practice Standards, NDIS Code of Conduct, Pricing Arrangements and Quality and Safeguards Framework .
Previous experience managing compliance, audits and documentation within an NDIS environment.
Understanding of NDIS participant funding models.
Strong administrative and organisational skills.
Excellent attention to detail.
Strong communication and problem-solving skills.
Ability to work collaboratively across multiple branches and departments.
Diploma or Bachelor's degree in Disability, Community Services, Compliance or a related field.
Knowledge of Supported Independent Living (SIL) operations.
Understanding of environmental and workplace risk-assessment requirements.

High levels of participant and staff file compliance.
Consistent compliance systems operating across all VHCC regions.
Accurate alignment between Service Agreements, participant funding and CRM
Governance and quality registers maintained and current.
Timely SIL house and environmental risk assessments.
Effective monitoring of compliance across all branches.

Timely closure and follow-up of incidents and complaints.
