About You

The Operations Officer provides high-quality administrative and operational support to the Executive Director and Senior Leadership Team within the Property Services Group (PSG). The roleis responsible forproactively managing calendars and schedules, coordinating correspondence and document management, preparing and refining memos, letters and other key documents, and providing prompt andaccurateresponses to enquiries. Acting as a key liaison for internal and external stakeholders, the Operations Officer will set a high standard for customer service and represent PSG professionally.

We are looking for a flexible,adaptableand collaborative team player who is happy to pitch in wherever needed, keen to learn, and comfortable working across all areas of the Group.The successful candidate will bring a proactive, solutions-focused approach, confidence using a range of systems and technology, and a commitment to breaking down silos and improving collaboration and efficiency across PSG.

To be successful in this position,you’llhave:

- Demonstratedexperiencetodeliveroutcomesinanefficientandautonomousmannerwithina constantly changing environment with multiple conflicting demands.

- Extensiveexperienceinprovidingadministrativesupportin a large, complexorganisation.

- Excellentorganisationaland time management skills including the abilityprioritisework and manage expectations accordingly.

- Excellentproblem-solvingskillsandoutcomefocusedapproachincludingtheinitiativetoharness resources,identifyareas of improvement and propose / implement solutions.

- Demonstrableexperienceofstrongcustomerservicefocus.

- Well-developedinterpersonal,verbalandwrittencommunicationskillsandabilitytonegotiate,influenceand engage with a wide audience.





- Substantial experience in preparation of correspondence,reportsand other written documents toa high levelsuitable for Executive level audience.

- Highlevelinformationtechnologyproficiency(IT)includinguseofMicrosoftSuite(Word,Excel,Visio, PowerPoint) andproficiencyin the use ofSharepointplatform.

- Experienceincommitteesecretarialdutiesincludingcoordinationofmembers,minutetakingand agenda drafting.

- ExperienceinrecordsmanagementsystemsandunderstandingofgeneralRecords Management policies and procedures.

- Abilitytomaintainconfidentialityandhandlesensitivemattersdiplomaticallyanddiscreetly.

About the Group

Property Servicesis located inthe Operations Portfolio which is the services nucleus of RMIT and the focus for the development of the finance, people development infrastructure and systems that provide administrative capacity to the University.

PropertyServiceshasapproximately100staffandhastheresponsibilitytooperate,maintainandenhance the buildings owned and leased by RMIT University, oversee construction projects and ensure the provision of physical facilities services.

Property Services is responsibility for a Property Portfolio of $2.9bwithanoperatingbudgetinexcessof$80Mandprospectivecapitalprojectsofover$100Mper annumforthenextfewyearsinMelbourneandVietnam.RMIT'sbuiltenvironmentinvolvesapproximately 110 buildings in Melbourne spread across all RMIT's campuses and sites,



and several international campuses in Vietnam and Spain.
