Role overview
The purpose of an Office Manager at Malhotra Migration is to ensure the smooth and efficient running of the consultancy by overseeing daily operations, coordinating staff, and managing client services. They act as the central point of organisation handling scheduling, supervising administrative processes, maintaining compliance records, and supporting migration agents with accurate documentation.
Key responsibilities
- Manage Office Operations: Oversee day‑to‑day administrative functions, ensuring smooth workflow and efficient use of resources.
- Coordinate Staff Activities: Supervise and support administrative staff, allocate tasks, and monitor performance to maintain service standards.
- Client Service Oversight: Ensure reception, walk‑in inquiries, phone calls, and emails are handled professionally, maintaining high levels of client satisfaction.
- Compliance & Record Management: Maintain accurate records of visa applications, client files, and office documentation in line with MARA and Australian immigration law requirements.
- Financial Administration: Prepare and manage office budgets, handle invoicing, payments, and monitor expenditure to support financial accountability.
- Policy & Procedure Implementation: Develop, enforce, and review office policies and procedures to ensure compliance with organisational and regulatory standards.
- Resource & Facility Management: Oversee office supplies, equipment, and facilities to ensure availability and functionality.
- Reporting & Communication: Prepare operational reports, communicate effectively with management and staff, and contribute to strategic planning.
Qualifications and skills
Educational Background
- A Bachelor’s degree in Business Administration, Management, or a related discipline is preferred.
- Alternatively, a Diploma in Office Administration or Business Management may be acceptable.
Experience
- At least 1–2 years of proven experience in office administration, staff coordination, or workflow management.
- Prior experience in a migration consultancy, legal services, or professional services environment will be highly regarded.
