What we do
Think Mental Health (formerly Think Psychology Solutions) is a private organisation founded in 2011 by two local clinical psychologists, Vanessa Hamilton and Jason McCrae. We deliver both a private mental health clinic (Think Clinic) and a range of community sector mental health services, supported by government funding.
Think Mental Health delivers both the territory-wide phone intake service for Head to Health and Canberra Medicare Mental Health Centre. Medicare Mental Health Centre’s are nation-wide Adult Mental Health service is supported by funding from the Capital Health Network (CHN) through the Commonwealth Department of Health and Ageing.
Position Purpose
The Practice Manager for the Clinic provides high level practice management and administrative support to facilitate quality health care to clients of Think and business support to the organisation. The Practice Manager is responsible for overseeing the day-to-day functioning of the Think private clinic and through the development, implementation and refinement of systems, will work to ensure efficient and smooth service delivery and general operations. With a focus on client service and experience, the incumbent will lead the delivery of frontline care services by ensuring the coordination and service-wide application of systems to support the needs of an allied health multidisciplinary team.
The successful candidate will undertake a 4 month transition period, working alongside our Acting Practice Manager to develop a thorough understanding of the role and clinic operations. During this period,
they will also be expected to perform general reception duties at least 1–2 days per week until formally transitioning to the full time Practice Manager position.
Position Responsibilities
Undertake a broad range of administrative tasks which include the following activities;
- Manage, supervise and lead the administration team in providing high level and accurate reception and clerical duties for the Think Clinic team.
- Support the operations and communications between the Think Clinic staff and private consultants.
- Ensure appropriate documentation for credentialing, registration, insurance and work agreements of private practitioners are on record and kept up to date.
- Contribute to the development and effective operation of the Consultant workforce (GP and psychiatrists).
- Assist in the induction of all new staff and in the recruitment of administrative staff, as required.
- Provide reception support during periods of staff shortage or increased operational demand
- Ensure IT systems are operating effectively and liaise with IT support services to promptly address any issues.
- Maintain accounting systems in consultation with accounts and manage petty cash.
- Ensure all administration staff uphold a high level of professional standards in maintaining accuracy and confidentiality of health records.
- Ensure compliance with Medicare and other statutory requirements.
- Oversight all billing, including Medicare, batching and electronic claims, ensuring all provider details are current and correct.
- Manage overdue and outstanding debts in a timely manner.
- Ensure all reporting and correspondence is of a high quality and meets the needs of referrers, third parties and clients of the service.
- Prepare and coordinate staff and room rosters.
- Monitor stationery and practice supplies.
- Maintain the equipment and asset register.
- Monitor workplace health and safety within the Centre.
- Manage and oversee the maintenance and repairs of building and office equipment,
including liaising with the facilities manager.
- Action and follow-up on file record requests and subpoenas.
- Contribute to the documentation, review and updating of policies and procedures as required.
- Model and demonstrate constructive working relationships and information exchange across the organisation.
- Other duties as requested by the Management team.
Required Skills, Knowledge and Experience
Qualifications:
- Certificate or Diploma level qualification in a relevant discipline and/or substantial experience in a similar practice management role or setting within the health sector.
- A minimum of 5 years' experience in reception within a busy multidisciplinary health clinic, preferably a GP practice
- Robust written and verbal communication skills, including the ability to engage with clients, health practitioners and external third parties.
- High level working knowledge of Medicare and health insurance systems and processes.
- Highly developed analytical skills and a proven track record in problem solving and effective decision making.
- Ability to work in a highly productive environment with time pressures whilst managing multiple tasks.
- Advanced computer skills including word processing, spreadsheets, electronic recording systems and data management tools, along with a capacity to learn new clinical software packages.
- Ability to work both independently and collaboratively as a productive team member.
- Experience in leadership and/or Practice Manager.
- A broad understanding of the mental health service system within the ACT.
- Knowledge of trauma-informed principles
