POSITION SUMMARY Occupational Therapy Helping Children is seeking a client services team member to support our amazing team of occupational therapists. Occupational Therapy Helping Children helps children with a variety of developmental challenges. You will be an integral part in the overall client services team to assist in providing quality service to our clients. PURPOSE OF ROLE To provide administrative support services to clients and employees of Occupational Therapy Helping Children (OTHC). This role will be responsible for client services and practice administration and will be required to establish and maintain effective working relationships with all team members to facilitate effective client management. KEY DUTIES Client Service & Reception – Welcome and assist clients with a warm, professional manner, acting as the friendly face of the practice. Communications Hub – Manage all internal and external correspondence, phone, and email enquiries. Payment Processing – Process therapy session payments accurately via Tyro terminal.



Administrative Support – Provide filing, scanning, document management, and general secretarial support to management, clinicians, and contractors. Client Data & Records Management – Maintain accurate client records in the Practice Management software, including onboarding, file uploads, and updates. Scheduling & Waitlist Coordination – Manage multiple practitioner schedules and oversee the client waitlist system. Referral & Enquiry Handling – Respond to current and existing client enquiries, support onboarding paperwork, and help promote services to grow the client base. Team Communication & Time Management – Track notes and communicate clearly to keep the wider team aligned, while prioritizing tasks efficiently under pressure. Adaptability & Procedural Compliance – Follow current procedures, adapt to updates, and remain flexible as business needs evolve.
