Join the School of Historical and Philosophical Inquiry as an Executive Support Officer and play a pivotal role in supporting senior leadership within a agile and team-oriented university environment. This exciting opportunity is ideal for a highly organised and proactive individual who thrives in a fast-paced setting and enjoys building strong relationships across diverse stakeholder groups. In this varied role, you will provide high-level executive and administrative support to the Head of School and School Manager, while also contributing to the coordination of events, marketing initiatives, and communications activities that promote the School’s profile and impact. You will be trusted to manage competing priorities, coordinate key operational activities, and support the smooth and effective running of the School. Key responsibilities will include, but are not limited to:
- Manage the Head of School’s daily operations, including diary management, meetings, communications, correspondence, and travel coordination.
- Provide high-level administrative and secretarial support to committees, working parties and School forums.
- Coordinate School events, workshops, and conferences, ensuring smooth logistics and proactive issue management.
- Liaise with staff, students, government, industry, and community stakeholders while overseeing office administration, briefing materials, and follow-up actions.
- Support financial, marketing, and digital communications activities, including expense management, approvals, website/social media updates, and promotional materials.
About You
Candidates should possess proven experience in administrative, executive support, or secretarial roles, along with exceptional interpersonal and written communication skills. The successful applicant will demonstrate robust organisational abilities, including the capacity to prioritise competing tasks, manage workloads effectively, and work independently to meet deadlines in a fast-paced environment. Additionally, you will demonstrate:
- A bachelor’s degree with subsequent relevant experience; or completion of an Advanced Diploma qualification and at least two years subsequent relevant work experience; or completion of a Certificate IV and extensive relevant work experience; or an equivalent combination of relevant experience and/or education/training.
- Relevant administrative, executive support or secretarial experience in a tertiary education institution or other large organisation, including experience in office administration, marketing and communication.
- High level written, oral and interpersonal skills
- Excellent organisational and time management skills, as well as a commitment to a high level of customer service.
- Ability to prioritise competing work demands and meet deadlines, whilst maintaining accuracy and attention to detail.
- Advanced stakeholder management and engagement skills.
