Summary of Key Purpose
The Executive Coordinator (EC) provides high-level executive, administrative and operational support to the CEO, Chair and, as required, the RDAMBSC Board — enabling effective governance, stakeholder engagement and day-to-day operations across the organisation.

Key Duties and Responsibilities
1. Executive Support and Stakeholder Coordination
Manage the CEO’s and Chair’s diaries, appointments and scheduling.
Act as a key point of contact for internal and external enquiries on behalf of the CEO and Chair.
Prepare, collate and quality-check briefings, correspondence, presentations and other documentation.
Track actions, deadlines and commitments arising from meetings and stakeholder engagement, ensuring timely follow-through.
Maintain contact lists and support coordination across the RDA network and other stakeholders.
Arrange travel, itineraries and event logistics for the CEO and Chair as required.
Monitor priority issues, emerging matters and correspondence requiring attention.
Maintain confidentiality and discretion in handling sensitive information.
2. Board and Governance Support
Coordinate preparation of Board and committee meetings, including agendas, papers, minutes, action registers and document distribution.
Support implementation of decisions and actions determined by the CEO, Chair or Board.
3. Meeting and Event Coordination
Coordinate internal and external meetings, workshops and events (venues, catering, technology,
attendee communication and logistics).
Prepare meeting packs, presentations and speaking notes, and track post-meeting actions.
4. Reporting and Compliance Coordination
Maintain calendars for key reporting, governance and operational deadlines.
Collate financial, operational and governance documentation for review and submission.
Support preparation, formatting and lodgement of reports, Board papers and compliance records.
Assist the CEO in monitoring obligations under the RDA Funding Agreement and other organisational requirements.
Support continuous improvement of office systems, policies and procedures.
Assist with recruitment, onboarding and personnel administration as required.
5. Administration, Records and Office Operations
Provide administrative support: document preparation, formatting, filing, registers.
Coordinate invoices, procurement, supplies and service providers.
Maintain organisational templates, systems and registers for consistent record keeping.
Maintain accurate, secure records across governance, financial administration, WHS, HR and risk management to support compliance, audit readiness and organisational continuity.

Salary: $83,000–$100,000 FTE, pro rata for 24 hours/week (0.6 FTE) = $50,000–$60,000 actual, plus 12% superannuation, depending on experience.
Hours: 24 hours/week (part-time) – actual days and times can be flexible with agreement with the CEO.
Location: The RDAMBSC office is located in The Hive Business Space, Kon Tiki Building (Tower 2), 55 Plaza Parade, Maroochydore, QLD 4558.
