We are looking for an organised and motivated Accounts Assistant to support our accounts team and ensure the smooth running of day-to-day accounts operations.
Key Responsibilities / Capabilities
Accounts Payable
- Checking supplier/ subcontractor invoices against purchase orders before processing bills in Xero
- Ensuring accuracy of invoice coding and compliance with company procedures
- Reconciling supplier statements and assisting with payment runs
- Maintaining accurate records of subcontractor claims and compliance documentation (e.g. insurances, ABNs, licences)
Accounts Receivable
- Assisting with raising client invoices and progress claims in line with construction contracts
- Monitoring customer payments and following up outstanding accounts
- Allocating customer payments & issuing receipts
- Supporting bank reconciliations in Xero
Payroll Support
- Assisting with weekly/fortnightly payroll processing in Xero
- Maintaining employee records (timesheets, leave, superannuation)
- Ensuring compliance with Fair Work and ATO requirements
General Accounting & Administration
- Assisting with monthly reporting, data entry, and reconciliations
- Supporting budgeting and cost tracking for projects
- Liaising with project managers, subcontractors, suppliers, and clients regarding accounts matters
- Answering phone calls and assisting with general office enquiries in a professional manner
- Filing, maintaining records, and performing other administrative tasks as required
- Bank Reconciliations
- Posting Accounting Journals
Skills & Experience
- Previous experience in accounts, bookkeeping, or administration (construction industry experience highly regarded)
- Strong attention to detail and accuracy with data entry and invoice matching
- Proficiency with Xero accounting software (essential)
- Intermediate MS Excel and Microsoft Office skills
- Good communication and organisational skills
- Ability to work both independently and as part of a team
Qualifications
- Certificate IV in Accounting & Bookkeeping or other qualifications in the field (desirable, not essential)
- Relevant accounting or administration experience in the construction industry (preferred)
