The Opportunity:

We are seeking a motivated and detail-oriented Production Administrator to join our Stores team. This role will be full time for a 12-month duration.

The Production Administrator is responsible for the accurate coordination and administration of raw materials received into the manufacturing facility.

The role ensures raw materials are available in a timely manner to support production requirements, while maintaining accurate inventory and system data, supporting material traceability, and ensuring relevant quality and supplier documentation is maintained.

The position works closely with Production, Procurement, Quality and Finance to resolve issues and ensure the efficient flow of raw materials into the facility.

Key Responsibilities:

- Coordinate and process raw material deliveries, ensuring quantities, specifications and supporting documentation are accurate and complete.

- Conduct initial checks of raw materials upon arrival and liaise with Quality,



Procurement and relevant stakeholders to resolve discrepancies, shortages or non-conformances.

- Accurately enter, maintain and update raw material information in inventory and ERP systems, ensuring data integrity and traceability.

- Monitor raw material inventory levels and support stock replenishment activities in line with production requirements and schedules.

- Work closely with Procurement, Production, Quality and Finance to ensure raw materials meet required specifications, food safety, quality and traceability standards.

- Maintain accurate and up-to-date records of batch numbers, certificates of analysis, delivery documentation and other relevant compliance records.

- Assist with regular stocktakes, inventory audits and reconciliation processes, investigating and resolving inventory variances.

- Identify and escalate raw material shortages, delays, discrepancies or other issues that may impact production requirements or timelines.

- Ensure all raw material transactions and movements are recorded accurately and in a timely manner.

- Support continuous improvement initiatives relating to raw material processes, inventory accuracy, documentation and system data.

The successful candidate will have:

- Previous experience in an administration, inventory, supply chain, logistics or materials coordination role, preferably within a manufacturing or FMCG environment.





- Strong attention to detail and a high level of accuracy when managing data, documentation and inventory records.

- Experience using ERP or inventory management systems, with the ability to quickly learn new systems and processes.

- Strong organisational and time management skills, with the ability to prioritise competing tasks and meet production deadlines.

- Good understanding of inventory management, stock control and reconciliation processes.

- Strong communication and interpersonal skills, with the ability to build effective working relationships across Production, Procurement, Quality and Finance.

- A proactive approach to identifying and resolving discrepancies, shortages and process issues.

- Understanding of quality, food safety, compliance and traceability requirements within a manufacturing environment.

- Strong problem-solving skills and the confidence to escalate issues when required.

- Forklift License (desirable but not essential).
