BLM Accounting Services is looking for an enthusiastic and conscientious full time Reception and Administration Assistant to join our team.
BLM Accounting Services is a boutique practice that has provided accounting, taxation, self-managed superannuation and financial planning services to businesses and individuals in the ACT and surrounding areas since 1997. We are a member of Chartered Accountants Australia and New Zealand, as well as a registered Tax Agent and Xero Gold Partner. Your Responsibilities
- Host reception area, maintain all shared spaces (meeting rooms, kitchen) and ensure the office is always tidy and presentable.
- Provide a warm and efficient first point of contact for all visitors, clients, suppliers and direct their enquiries as necessary.
- Answer and screen all incoming calls, handling the queries in a skilled manner and ensuring all messages are passed onto the relevant parties.
- Manage the office email inbox, including replying to clients and suppliers, and directing enquiries.
- Manage incoming & outgoing mail and couriers.
- Draft and prepare cover letters for all office correspondence: ASIC notices, ATO assessment letters, annual/quarterly ATO activity statements, client tax returns, and financial statements.
- Administrative tasks including filing, scanning, data entry, and replenishing office supplies.
- Organise maintenance of all office equipment such as printers and copiers, ensuring the office runs smoothly.
- Coordinate meetings (internal and external) and manage calendars.
- Provide executive assistant duties to the partners as required.
- Create new and improved systems for the efficient running of the office.
- General marketing and client engagement strategy support.
About You
We are looking for someone with the ability to work well with different personality types and meet deadlines. A high attention to detail is essential. This role would suit someone who is an excellent communicator, is well organised, and works well both autonomously and within a team. The capability to work full-time is ideal, but we may be willing to consider flexible part-time arrangements for suitable applicants.
Please note that this is an on-site role.
You will have:
- Experience working in a similar reception or admin role, front of house representative or similar.
- Xero bookkeeping experience and/or qualification desirable (but not essential).
- An excellent level of administration capability.
- Exceptional verbal and written communication skills.
- Proficiency in Microsoft 365 (Primarily Word, Excel & Outlook).
- Strong work ethic and pride in the quality of work produced.
- Excellent interpersonal skills.
- The ability to work effectively and efficiently both autonomously and as part of a team.
- Multitasking and time management skills with the ability to prioritise.
- High attention to detail and a proactive approach to problem solving.
- The ability to maintain confidentiality and behave professionally.
- A current full drivers’ licence and car.
- Fluency in English language (both written and verbal).
