Executive Assistant
Contract (3-4 weeks) | Barossa Hills
Are you a dynamic and proactive professional with a knack for organization and a passion for supporting senior leadership? We are seeking exceptional Executive Assistants to add to our candidate pool as we are seeing an increase in demand for this skillset.
General Role Overview:
As an Executive Assistant, you will play a critical role in ensuring the smooth operation of our executive teams. Your responsibilities will include managing schedules, coordinating meetings, handling confidential information, and providing high-level administrative support. The role will also be responsible for project work to ensure the efficient Management and operation in support services to other senior executive or management staff as required.
Key Responsibilities:
- Calendar Management: Efficiently manage complex calendars, scheduling meetings and coordinating travel arrangements
- Communication: Act as a liaison between executives and internal/external stakeholders, managing correspondence and prioritizing communication
- Meeting Coordination: Organize and prepare materials for meetings, including agendas and presentations. Take minutes and follow up on action items as needed
- Administrative Support: Provide comprehensive administrative support, including preparing reports, handling expense reimbursements, and maintaining filing systems
- Confidentiality: Handle sensitive information with discretion and maintain the highest level of confidentiality
Qualifications:
- Proven experience as an Executive Assistant or in a similar administrative role, supporting senior leadership
- Experience in undertaking minor research projects, including the compilation of data and the preparation of
briefing documents and summary reports.
- Experience in human resources including recruitment and selection, employment contracts and changes to
working conditions
- Experience working with Aboriginal consumers.
- Expereince working for Government organisations will be highly regarded
- Exceptional organizational and multitasking skills with a keen eye for detail
- Strong communication skills, both written and verbal, with the ability to interact effectively with diverse stakeholders
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with various office management software
- Ability to work independently and take initiative, with a proactive approach to problem-solving
