Capstone Recruitment

New South Wales

Our client, a small and highly regarded skilled services firm in the heart of Sydney's CBD, is on the hunt for an Administration Assistant who takes real pride in getting things right the first time, every time.
This isn't a role for someone happy to coast: it's for someone who thrives on ticking every box and turning chaos into order.
This is a high-level Administration Assistant role that will put your documentation skills, your eagle eye for detail and your polished, professional presence to work every single day, across a 12 month maternity leave contract.
It's client-facing, fast-paced, and genuinely rewarding for the right person.
About the Role
This is a 12 month maternity leave contract, working part time, 3 days per week, fully office based in Sydney's CBD.
You'll be joining a small, high-performing firm where your work is genuinely seen and valued, not lost in a big corporate machine, reporting to the Managing Partner and Executive Assistant.
It's an ideal move for someone looking to build broader business experience in a professional services environment, or simply seeking meaningful part-time work in a fabulous CBD office.
Key Responsibilities
Supporting administrative matters across the business
Entering and maintaining assignment, client details across internal systems and databases
Assisting with quality assurance processes, including assignment audits
Drafting and formatting a wide range of complex client documentation and reports to publication standard

Producing and formatting complex Microsoft Word documents so polished they could go straight to a boardroom table
Acting as a friendly, professional first point of contact
Keeping the office, boardroom and meeting rooms client-ready at all times
Welcoming clients into the office with warmth and professionalism
Jumping in on ad hoc tasks as directed, because that's exactly the attitude this role calls for
What You'll Bring
A degree isn't mandatory, but one in business, HR or communications would be well regarded
Strong listening, interpretation and questioning skills: you pick up on what's not being said as much as what is
Advanced Microsoft Word skills, with confidence across complex documents, formatting, styles, templates, tables and version control
High proficiency across Microsoft 365, including Excel and Outlook
A proofreader's eye for formatting, grammatical, numerical and consistency errors
Strong business writing and document presentation skills
Exceptional attention to detail and a naturally meticulous, quality-focused approach
The confidence and polish to interact professionally with senior executives and board members
A genuine get in and get it done attitude: you take ownership and follow through
Why You'll Love It
12 month maternity leave contract, part time, 3 days per week
Attractive salary on offer, commensurate with experience
A fabulous, central Sydney CBD office, easy to get to
A small, close-knit, high-performing team where you'll genuinely make a difference
Direct exposure to senior leadership and the world of executive search
