Administration & Document Control Officer
The Construction Adviser (TCA) is seeking a highly organised, friendly and computer-confident Document Control & Administration Officer to support our building consultancy practice.
The role combines document control, fee proposal preparation, client liaison, scheduling, administration and workflow management.
Strong computer skills, a friendly and welcoming manner, and the ability to work confidently across different software platforms and systems are essential.
About the Role
The Construction Adviser (TCA) is seeking a highly organised, friendly and computer-confident Document Control & Administration Officer to support our building consultancy practice.
The role combines document control, fee proposal preparation, client liaison, scheduling, administration and workflow management.
Strong computer skills, a friendly and welcoming manner, and the ability to work confidently across different software platforms and systems are essential.
Key Responsibilities
Prepare and draft fee proposals, quotations and engagement documents.
Respond to and follow up client enquiries by telephone and email in a friendly, welcoming and professional manner.
Maintain and improve document control systems and templates.
Assist technical staff with document preparation and project administration.
Compile document schedules, inspection records and reports.
Manage and administer cloud platforms for inspections and bookings, including downloading and processing field data.
Coordinate project documentation and filing systems.




Assist with calendar management, meeting scheduling and booking inspections.
Support administrative functions including correspondence, formatting reports and document production.
Essential Requirements
Minimum 3 years Australian office administration experience.
Very strong computer skills and the ability to work confidently across multiple software platforms, cloud systems and digital workflows.
Advanced Microsoft Word, Excel and Outlook skills, including document formatting, file management, marcos, and professional email correspondence.
Excellent written and verbal communication skills, with accurate grammar and a friendly, welcoming and skilled manner.
Strong attention to detail and document formatting ability.
Highly organised, dependable and able to manage multiple priorities and follow tasks through to completion.
Strong client liaison skills and confidence communicating with clients by telephone and email.
Demonstrated ability to learn, adopt and efficiently use new computer platforms and systems.
A friendly, mature, practical and team-focused approach.

Desirable Experience
Previous legal, construction or design experience.
Paralegal or legal administration experience.
Document management systems and workflow software.
CRM systems, automation platforms and AI tools.
Calendar and project coordination experience.
