Both companies operate from the same Zetland office, so you'll work across an established multidisciplinary practice and a growing AI company under one roof. It's an unusual administration opportunity: you'll see both sides of the businesses and work closely with the people responsible for running them.

The Role
We're looking for a highly organised and capable
Administration Coordinator
to support operations across LearnAble and Staying Independent.
This is a full-time, in-office administration position based in Zetland, with your time split across both businesses.
This is an administration and operations role and does not involve participant support work or community-based support shifts.
You'll manage enquiries, referrals, documentation, scheduling and the administrative work that sits behind both teams. Some days will be predictable; others will require you to reprioritise quickly as things change across the two businesses.
We're looking for someone who doesn't need to be followed up to follow something through. You'll notice what needs doing, keep track of the detail and be comfortable taking responsibility for your work.
What You'll Do
Manage incoming calls, shared mailboxes, leads and business enquiries
Coordinate referrals from initial enquiry through to documentation and internal allocation
Maintain accurate records, databases, files and administrative documentation
Prepare correspondence, documents, reports and meeting materials
Coordinate day-to-day office administration across both businesses
Provide administrative support to leadership, technology and clinical teams
Use AI and digital tools to reduce repetitive administration and work more efficiently
Identify administrative processes that can be improved rather than continuing to do something inefficiently because that's how it's always been done
Keep track of competing priorities and make sure important tasks don't get lost between teams
What You Bring
2+ years' experience in administration, office coordination,
practice administration or a similar professional support role
Strong organisation and an eye for detail
Experience managing inboxes, calendars, records, documentation and deadlines
Excellent written and verbal communication, including the ability to write professional correspondence without needing it rewritten for you
Confidence using Google Workspace and Microsoft Office and learning unfamiliar systems
Comfortable using AI and digital tools as part of your everyday work
Able to work independently, make sensible decisions and know when something needs to be escalated
Calm when priorities change and able to reorganise your workload accordingly
Qualified and discreet when handling confidential information
Experience in healthcare, allied health, NDIS or professional services is useful, but
strong administration experience matters more
Unrestricted Australian working rights for a permanent full-time position
