Job Description
The Bookkeeper is responsible for maintaining accurate financial records for the service and the P&C;, ensuring compliance with relevant legislation, funding requirements, and internal policies. This role supports the Centre Director, Management Committee and the P&C; by providing timely and accurate financial information to support effective delivery for both the Out of School Care Service and the P&C.;

Key Duties and Responsibilities
/n
/n
- Maintain accurate and up to date financial records using accounting software (preferred: XERO)
/n
- Process accounts payable and receivable, including supplier invoices and family fee payments
/n
- Reconcile bank statements and petty cash on a regular basis
/n
- Calculate wages and entitlements for all permanent and casual employees
/n
- Process payroll including wages, superannuation, leave entitlements, and PAYG withholding
/n
- Maintain accurate records of all wages and entitlements
/n
- Set up recent staff in payroll system, including superannuation set up where necessary
/n
- Remit superannuation to appropriate funds prepares and lodge Business Activity Statements (BAS) in accordance with ATO requirements
/n
- Monitor cash flow and flag any financial concerns to the Centre Director
/n
- Manage the renewal of insurances, rent payment, and subscriptions
/n
- Process P&C; income and expenditure including fundraising, events, donations, and reimbursements
/n
- Manage scheduled family payments, payment plans, and debt escalation
/n
- Monitor and make any ad hoc fee adjustments and any fee changes
/n/n
Reporting & Compliance
/n
/n
- Prepare monthly, quarterly, and annual financial reports for management and the governing body
/n
- Assist with the preparation of annual budgets and financial forecasts
/n
- Maintain compliance with funding body requirements, including Child Care Subsidy (CCS) financial obligations
/n
- Ensure records are maintained in accordance with privacy legislation and service policies
/n
- Liaise with external accountants and auditors as required
/n
- Assisting with grant applications and acquittal process (compiling evidence, completing acquittal reports, timely submissions)
/n/n
Administration Support
/n
/n
- Maintain organised and accurate filing systems for financial documents (physical and digital)
/n
- Process adjustments and reallocations as per Centre Director's directions
/n
- Oversee accounts payable and accounts receivable
/n
- Transfer funds between the Service's bank accounts if required
/n
- Maintain visibility of ATO accounts and any payment arrangements
/n
- Post recurring journals (depreciation, long service leave accrued,)
/n
- Prepare reports for the Centre Director or Management Committee as required
/n
- Maintain the committee member folder and bring to all meetings
/n
- Calculate and supply information for Workers Compensation reports
/n
- Assist with the financial aspects of enrolment administration, including CCS gap fee calculations
/n
- Support the Centre Director with ad hoc financial and administrative tasks as required
/n
- Attend team meetings and contribute to the continuous improvement of financial processes
/n
- Adhoc activities as required
/n/n
Essential Qualifications and Experiences
/n
/n
- Certificate IV in Bookkeeping, Accounting, or Business Administration (or equivalent experience)
/n
- Proven experience in a bookkeeping or accounts role, preferably in community, childcare, or not-for-profit settings
/n
- Proficiency with accounting software (MYOB, Xero, Quick Books, or similar)
/n
- Sound knowledge of GST, BAS preparation, and payroll processing
/n/n
Desirable Qualifications and Experiences
/n
/n
- Experience in the childcare or community services sector
/n
- Familiarity with Child Care Subsidy
/n
- Sound knowledge of rostering systems
/n/n
Mandatory Requirements
