About Adare Care

Adare Care is an established residential aged-care provider located in Wantirna South, Melbourne. Our 45-bed facility provides high and low care, dementia care, disability care, palliative care, respite care and day-care services.

We are committed to delivering safe, respectful and high-quality services in a supportive environment. As our services and regulatory responsibilities continue to develop, we are seeking an experienced Operations Improvement Manager to review and strengthen our organisational systems, workflows and operating procedures.

About the role

The Operations Improvement Manager will work closely with senior management and operational teams to analyse the organisation’s existing structures, methods, systems and procedures.

The position will identify operational inefficiencies, duplicated activities, unclear responsibility boundaries and opportunities for service improvement. The successful candidate will prepare practical recommendations, coordinate approved operational changes, develop procedural documentation and monitor the effectiveness of implemented improvements.

This is an organisational analysis and process-improvement position. It does not involve providing clinical care or making clinical decisions.

Key responsibilities

- Conduct detailed reviews of organisational structures, work allocation, administrative systems and operational procedures across Adare Care’s service areas.

- Consult with management, nursing, care, administration and support personnel to understand existing work practices and operational challenges.

- Map and analyse resident-admission, service-coordination, incident-management, complaint-handling, documentation and internal reporting workflows.

- Examine operational records, reports, procedures,



service data and position responsibilities to identify duplication, delays, inconsistent practices and control gaps.

- Prepare evidence-based recommendations to improve operating methods, workflows, responsibility allocation and communication between business functions.

- Develop future-state process maps, implementation plans, operating instructions and revised procedural documentation.

- Present proposed operational improvements to senior management for review and approval.

- Coordinate the implementation of approved recommendations across relevant departments and service teams.

- Support the standardisation of administrative and service-delivery procedures while recognising applicable aged-care, disability-service and organisational requirements.

- Develop operational performance measures and reporting mechanisms to assess the effectiveness of implemented changes.

- Review incident trends, complaints, response times, service information and other operational indicators to identify further improvement opportunities.

- Conduct post-implementation reviews and recommend corrective or continuous-improvement measures.

- Assist management with operational change initiatives, system implementation and preparation for internal or external operational reviews.

- Maintain accurate process, procedure and project documentation.

Qualifications and experience

The successful candidate will have:





- A Bachelor degree or higher qualification, together with substantial relevant professional experience in organisational analysis, operational improvement, business-process analysis or a closely related field.

- At least three years of relevant full time professional experience in reviewing organisational structures, methods, systems, workflows or administrative procedures.

- Demonstrated experience in preparing and implementing recommendations to improve organisational efficiency and service delivery.

- Experience preparing process maps, analytical reports, operating procedures, implementation plans and internal guidance.

- Demonstrated ability to analyse operational information and convert findings into practical recommendations.

- Experience coordinating change or improvement initiatives involving multiple departments or stakeholder groups.

- Strong written communication, consultation, analytical and problem-solving skills.

- Strong organisational skills and the ability to manage several improvement projects and priorities concurrently.

- Competence in standard office, reporting and process-documentation applications.

Desirable attributes

- Familiarity with quality-management, risk-management or continuous-improvement principles.

- Experience working with multidisciplinary or culturally diverse teams.

- Experience supporting operational or digital-system implementation.
