About the role
Working as part of the finance and administration team, you will be responsible for managing a range of accounts receivable activities while also providing support across payroll and general finance functions.
A key focus of the position will be ensuring invoicing is completed accurately and on time, debtor accounts are actively managed, and payroll information is processed correctly. The role involves working with information from multiple areas of the business, so strong attention to detail and the confidence to follow up missing or incorrect information will be essential.
Duties and Responsibilities
- Manage day-to-day accounts receivable activities, including invoicing, allocations and account reconciliations
- Prepare and process invoices across a range of services, labour, materials and other chargeable items
- Monitor outstanding debtor balances and proactively follow up overdue accounts
- Investigate account discrepancies and respond to billing and payment queries
- Maintain accurate customer accounts and financial records
- Work closely with operational teams to obtain the information required for accurate and timely invoicing
- Assist with weekly and/or fortnightly payroll processing
- Review and enter timesheets, hours worked, allowances, leave and other payroll information
- Assist with payroll reconciliations and respond to employee payroll queries
- Maintain accurate employee payroll records and supporting documentation
- Support month-end processes, including account reconciliations and reporting
- Prepare debtor and finance reports for management
- Provide general accounts and administration support to the broader finance team as required
Skills and Experience
- Previous experience in an Accounts Receivable, Accounts Administration or similar finance position
- Exposure to payroll processing or payroll administration
- Experience working within a busy, operational or service-based organisation
- Previous exposure to environments involving labour, timesheets, job-based invoicing, equipment, materials or multiple cost components will be highly regarded
- Strong attention to detail and a high level of accuracy
- Confidence managing debtor accounts and following up outstanding payments
- Experience using accounting or finance software, with exposure to Xero or similar systems advantageous
- Good communication skills and the ability to work effectively with both finance and operational team members
- A willingness to take ownership of your responsibilities and contribute to the broader team
