We are looking for an organised, proactive and professional Personal Assistant to provide comprehensive administrative support to the Maternity Services Leadership team during a period of maternity leave. This is a part-time- fixed term maternity cover role.
- Has previous experience as a Personal Assistant, Executive assistant or in a senior leadership role
- Is highly organised with excellent time management and prioritisation skills
- Can manage multiple tasks and work effectively in a busy fast-paced environment
- Has excellent communication and interpersonal skills, with the ability to build positive working relationships
- Is confident at managing complex diaries, arranging meetings and co-ordinating workload
- Can handle confidential and sensitive information with discretion.
- Has experience preparing meeting agendas, organising meeting papers, taking accurate minutes and follow up on actions
- Proficient in Microsoft applications
- Works independently using initiative to solve problems and anticipate the needs of the team
- Demonstrate accuracy, attention to detail and commitment to delivering high quality administrative support
- Experience working in the NHS or healthcare environment (desirable but not essential)
- Manage the diary in a pro-active and autonomous manner to maximise effective time management, prioritising as necessary.
- To act as the initial point of contact for internal and external enquiries, responding to telephone calls, e-mails, correspondence and visitors, categorising for urgency and importance, using initiative to action/forward or refer as appropriate.
- To make travel arrangements as necessary, including management of travel expenses claims.
- To coordinate administrative activities, including the preparation of agendas and meeting papers, minute taking and following up actions.
- Work with electronic information systems such as email, electronic diaries, internet/intranet, video conferencing platforms, word processing, databases, spreadsheets and powerpoint presentations.
- Arrange meetings, seminars, workshops and presentations both within and external to the Trust,
attending as necessary to take and transcribe minutes/notes/action plans.
- Plan and manage own workload, prioritising work appropriately to ensure all deadlines are met.
- Collate data and draft reports as required.
- Ensure strict confidentiality is kept at all times when dealing with patients and staff.
- Develop procedures to manage own area of work and that of the senior midwifery/nursing team
- To maintain a professional manner and appearance at all times.
- Perform any other duties that may be required from time to time.
