Alltype Engineering is a leading multidisciplinary engineering and construction company delivering projects across the Mining, Water, Energy and Infrastructure sectors throughout Australia.

We are looking for an organised and proactive Project Administrator to support our project delivery teams in our Naval Base office. This is a varied role that combines site administration, mobilisation, workforce coordination and commercial administration to ensure projects are delivered efficiently and on schedule.

About the Role

Working closely with Project Managers, Engineers and Site Supervisors, you will provide administrative support across all stages of project delivery.

Your responsibilities will include project administration, mobilisation coordination, document control, reporting and assisting with commercial and claims administration.

Key Responsibilities

Site Administration

- Maintain and update the hire equipment register, including on-hire and off-hire status
- Provide reporting support and compile project data for management reports
- Maintain site rosters and workforce records
- Coordinate routine purchasing of PPE, tools and site consumables
- Assist with general project administration activities

Mobilisation & Workforce Coordination

- Maintain mobilisation trackers and monitor mobilisation schedules
- Coordinate mobilisation of employees and subcontractors
- Create and maintain personnel profiles within client and site access systems
- Coordinate Verification of Competencies (VOC), training, medicals and site inductions
- Maintain the Training and Competency Matrix
- Liaise with clients to arrange accommodation
- Book hire vehicles and site equipment
- Issue and track PPE for project personnel

Commercial Administration





- Assist with preparation of progress claims
- Maintain claim support spreadsheets and registers
- Enter, verify and reconcile project data
- Collate supporting documentation for client claims and audits
- Provide general commercial administration support to the project team

Project Documentation

- Maintain project contact and distribution lists
- Prepare meeting agendas and minutes
- Maintain project records and documentation
- Ensure documentation is accurate, current and readily accessible

About You

To be successful in this role, you will have:

- Previous experience in project administration, mobilisation or site administration within construction, engineering, mining or infrastructure
- Strong organisational skills with excellent attention to detail
- Experience coordinating training, medicals and workforce mobilisation
- Intermediate to advanced Microsoft Office skills, particularly Excel
- Pronto experience - highly advantageous
- Ability to manage multiple priorities and meet deadlines
- Excellent communication and stakeholder management skills
- Current Australian Driver's Licence

Highly Regarded

- Experience using client mobilisation systems
- Experience supporting FIFO or DIDO projects
- Knowledge of engineering or construction environments
- Exposure to project claims, document control or commercial administration
