We are seeking a highly organised and motivated Finance Administration Assistant to join our team at our Rutherford office.
You will play a key role in ensuring operational processes run smoothly through accurate record keeping, strong administrative coordination, and effective communication across departments.
This role is ideal for an experienced administration officer who enjoys variety, takes initiative, and thrives in a energetic operational environment.
You will play a key role in maintaining strong client relationships whilst managing administrative processes that keep our business running efficiently.
This position offers the opportunity to work in a fast-paced environment where your organisational skills and attention to detail directly contribute to client satisfaction and business success.
Key Responsibilities
In this role you will provide operational and finance administration support including:
· Manage financial record-keeping in Xero & Workbench and accounts receivable processes
· Processing accounts receivable and payable invoices and other financial documentation, ensuring accuracy and timely submission
· Data entry and maintaining accurate records
· Answering incoming phone calls and providing friendly, professional customer service
· Helping keep the office organised and running efficiently
· Working closely with our internal teams and providing support when required
· Performing general administrative duties including filing, photocopying, data entry and office organisation
· Maintaining electronic filing systems
What we are looking for
· Previous experience in an administration, office coordination or operations support role
· Excellent organisational and time management skills, with the ability to manage multiple priorities and meet deadlines
· Strong written and verbal communication skills with the ability to interact professionally with clients and internal stakeholders
· Experience using Xero, Workbench and Assignar
· Strong attention to detail and accuracy
· A team player with a positive attitude and willingness to learn
· Can prioritise tasks and stay calm when things get busy
· Confident using Microsoft Office (Word, Excel, Outlook) including SharePoint
· Reliability, discretion and the ability to handle confidential information appropriately
