Martinovich Psychological Services (MPS) is a well-respected clinical, forensic and organisational psychology practice with its head office in Fremantle Western Australia.
For over 22 years, we have delivered high-quality assessments, therapy, training, consultancy and corporate services across government, corporate and community settings.
We are seeking an impactful reception and administration professional to join our team in a varied, full-time role.
This position requires an individual who thrives in a fast-paced environment, can combine front-of-house client service, practice administration, leadership and clinician support, document preparation, business systems support and routine finance administration.
The successful candidate will be highly organised, technologically confident, detail-oriented, and capable of working independently while maintaining excellent relationships with staff, clients, and external stakeholders.

About the Role:
This role would suit a skilled administrator who enjoys working in a professional services environment, can confidently manage competing priorities, and takes pride in producing accurate, polished and timely work.
Experience in a health, legal or similar qualified services setting would be highly regarded.
The role is based primarily in our Fremantle office, with occasional travel to other metropolitan sites.
Access to your own transport is therefore essential.
In this full-time role, your responsibilities will include:
Hosting clients, visitors and other stakeholders in a professional, warm and confidential manner.
Managing calendars, appointments, meetings, and daily business priorities.
Preparing professional correspondence, reports, presentations, policies, procedures, and business documents.
Maintaining organisational databases, digital records and practice management systems.
Ensuring information accuracy, data integrity and effective record management.
Completing routine finance administration, including reconciliations, invoicing and accounts payable and receivable tasks.
Supporting daily business operations and contribute to efficient internal administration processes.
Supporting clinicians and the leadership team with administrative tasks, documentation and internal coordination.
About You:
We are looking for someone who is organised, discreet, proactive and confident working across a broad range of administrative responsibilities.
You will bring strong judgement, excellent communication skills and the ability to remain composed and effective in a busy environment.
Ideally you will have:
Extensive administration and executive support experience.
Exceptional written communication and document preparation skills.
Advanced Microsoft 365 skills, including Word, Excel, Outlook, PowerPoint, Teams, SharePoint, and Copilot.
Experience managing databases, digital records, and business systems.
Sound financial administration knowledge, including invoicing, GST and accounts management.
Strong attention to detail and accuracy and follow-through.
Ability to prioritise competing demands and meet deadlines.
Professional judgement, discretion, and confidentiality.
A proactive and solutions-focused approach and willingness to support team priorities.
