Records Management Officer (APS4) – Position description

Client: Administrative Review Tribunal (ART)
Area: Data and Information Management
Location: Tribunal’s Perth Registry - Level 13, BOQ Building, 111 St Georges Terrace, Perth WA
Contract length/arrangements: Initial 12-week labour hire contract with possible 3-month extension
Hours: Full-time (37.5 hours per week)
Eligibility: The successful candidate must be an Australian citizen.

About the client:
The Administrative Review Tribunal is an Australian tribunal that conducts independent merits review of administrative decisions made under Commonwealth laws of the Australian Government.

About the role:
This is an on-site role based at the Tribunal’s Perth Registry. The Records Officer works under general supervision within a small team to provide support for the information and records management practices of the ART.

Duties:

- Assist the ART to manage its physical records, including working with registry staff to update work processes and keep accurate inventories.
- Assist with the sentencing of case and corporate files held onsite in ART offices or in offsite storage.
- Listing of other types of files, such as Tribunal decisions, and preparation of these files for transfer to offsite storage or National Archives of Australia.
- Assist registry staff with records enquiries and order retrievals and collections from the offsite storage provider.




- Contribute to the reporting of case and corporate physical files on site and in offsite storage. Participate in internal audits of ART information and records management practices.
- Contribute to team planning, reporting and outcomes as required.
- Undertake other duties, such as assistance with whole-of-section projects, as directed.
- Participate in monitoring and responding to requests for assistance.

Requisite skills/experience:

- Sound understanding of records management legislation, policies and standards.
- Experience in case and corporate file management and dealing with offsite storage providers, including the ability to identify problems or issues with providers and resolve or establish treatments to mitigate them.
- Sound written and oral communication skills, including the ability to provide advice on records management to staff and members.
- Ability to exercise judgement with the interpretation or application of records management policies and procedures.
- Ability to work co-operatively as part of a team, develop and support positive relationships with internal and external stakeholders to achieve work area and agency goals.
- Ability to support innovative initiatives to maximise the perks of change and contribute to the improvement in quality and efficiency of services.
- Demonstrated organisational skills, including careful attention to detail regarding records documentation and the ability to manage competing priorities to meet deadlines.
