About the Role
We are seeking an organised and proactive Vendor Compliance & Fleet Coordinator to join a busy operational team. This role will be responsible for coordinating vendor compliance, onboarding and administration, while also overseeing key fleet management activities.
This is a great opportunity for someone who enjoys working across compliance, administration, vendor management and fleet operations, with strong attention to detail and the ability to manage multiple priorities.
Key Responsibilities
Vendor Compliance & Management
- Maintain and track the vendor compliance register, ensuring upcoming expiries are identified and communicated promptly.
- Follow up corrective actions and proactively escalate compliance issues where required.
- Provide vendor compliance evidence to Contract and Compliance Managers.
- Coordinate supplier reviews against contractual requirements.
- Assist with the selection and interview process for new vendors alongside the Service Delivery team.
- Manage the onboarding of newly approved vendors from initial interview through to induction.
- Oversee ID Card applications, including reviewing requirements and escalating issues as required.
- Monitor vendor insurance requirements, ensuring policies remain current and communicating upcoming expiries to relevant stakeholders.
- Work with Procurement and Facilities Management teams to maintain accurate vendor records.
Reporting & Administration
- Establish and maintain SharePoint records for vendor and fleet documentation in line with company requirements.
- Identify opportunities to improve systems, processes and operational efficiency.
- Support internal audits and compliance reviews.
- Produce and distribute weekly vehicle speed reports.
- Prepare monthly vehicle status and vendor compliance reports for management.
- Maintain and prepare monthly insurance expiry tracking reports.
- Assist with business, technical and process analysis to identify areas for improvement.
- Coordinate training and communicate changes to processes and procedures to relevant stakeholders.
Fleet Management
- Oversee the day-to-day administration of the company fleet.
- Track vehicle locations, usage and compliance.
- Coordinate vehicle claims, including incident documentation and liaison with insurers.
- Promote safe driving practices and ensure fleet compliance requirements are maintained.
- Attend monthly field staff meetings and provide relevant fleet updates.
- Utilise fleet management systems and platforms to maintain accurate records and reporting.
About You
We are looking for someone who is:
- Highly organised with excellent attention to detail.
- Experienced in compliance, vendor management, fleet administration or a similar operational environment.
- Confident communicating with internal stakeholders, vendors and external suppliers.
- Strong at managing deadlines, tracking expiries and following up outstanding actions.
- Comfortable working with systems, databases and reporting tools.
- Proactive,
solutions-focused and able to identify opportunities for process improvement.
- Confident preparing reports and presenting information to management.
- Able to work independently while also collaborating effectively with a wider team.
- Experienced in maintaining accurate documentation and supporting audits or internal reviews.
Desirable Experience
Experience with Navision, SharePoint, ORIX, eRoads or similar vendor, fleet and compliance management systems will be highly regarded.
