About The Practice
Our client is a specialist medical practice led by a highly skilled, multidisciplinary team of specialist medical practitioners and allied health professionals located in Brisbane.
The Opportunity
We are seeking experienced medical receptionists and senior medical receptionists (from a Specialist Medical practice background) to join the practice team. You will work closely with specialist medical practitioners, clinical and administrative team members, to ensure the practice reception operates efficiently and delivers high standards of patient care and service.
Duties and Responsibilities
Reception and Administration
Undertake day-to-day operational functions of the practice, ensuring efficient clinic flow, optimal resource allocation, and deliver professional, happy and quality patient service. These functions include maintaining the practice appointment and scheduling system, patient invoicing and receipting, coordinate theatre bookings, liaising with hospitals and anaesthetists.
Implement and seek to improve practice policies, procedures, and operational protocols.
Contribute to minimizing patient wait times to optimize patient satisfaction.
Staff Engagement
Support and assist all clinical, non-clinical and administrative staff to collaborate and achieve the organisation’s Vision and key objectives
Conducts oneself in a positive and respectful manner and actively seeks to contribute to a high-performing workplace culture aligned with the practice's values of clinical excellence, patient-centred care, and team collaboration.
Support onboarding of new staff and assist with training of new team members
Clinical Governance and Compliance
Ensure the practice meets and maintains all relevant regulatory requirements (where applicable)
Be responsible for reporting of incidents, patient safety protocols, and quality improvement initiatives
Ensure the practice's privacy and data security obligations are implemented in accordance with the Privacy Act 1988 (Cth) and Australian Privacy Principles.
Ensure infection prevention and control, work health and safety (WHS) compliance, and emergency management procedures are in accordance with legislative requirements.
Patient Experience and Service Excellence
Champion a culture of exceptional patient service, ensuring all patient interactions from first contact to post-visit follow-up reflecting the highest standards of professionalism and care.
Assist in the process of patient feedback, complaints, and concerns and report in a timely, empathetic, and constructive manner.
Develop and oversee patient communication strategies, including appointment reminders, recall systems, patient satisfaction surveys, and post-operative follow-up protocols.
Monitor and continuously improve patient flow, waiting times, and the overall patient experience throughout all stages of the patient journey.
Selection Criteria

EC1 — Qualifications Demonstrated experience in a specialist medical practice or health services management role.
EC2 — Specialist Medical Practice Experience Demonstrates experience working in a specialist medical practice, ideally an ophthalmology practice.
EC3 — Medicare Billing Demonstrates sound financial management skills, including experience with practice billing systems, Medicare and private health fund compliance. Strong knowledge of Medicare Benefits Schedule (MBS) item numbers relevant to specialist medical practice is essential.
EC4 — Communication and Stakeholder Engagement Demonstrates excellent written and verbal communication skills, with the ability to build and maintain effective qualified relationships with clinicians, staff, patients, referring practitioners, and health funds.
EC5 — Patient Experience and Service Excellence Demonstrates a strong commitment to delivering an exceptional patient experience, including experience managing patient feedback, implementing service improvement initiatives, and maintaining high standards of patient communication and care coordination.
EC6 — Practice Management Systems and Digital Literacy Demonstrates proficiency in practice management software to support efficient practice operations. Preferred: Gentu and Genie.
